Opportunity Overview
Generation Hope seeks a Development Coordinator Consultant to strengthen our fundraising operations, streamline donor data systems, and enhance donor stewardship processes. The consultant will serve as a strategic partner to the Advancement Team, ensuring timely, accurate, and complete recording of all gifts and maintaining high-quality data and reporting standards.
This is an independent contractor engagement — not employment. The consultant will collaborate closely with the Vice President of Advancement and coordinate with the Finance teams to support accurate reporting, donor trust, and operational excellence. A formal Consultant Agreement will outline final deliverables, compensation, and compliance requirements prior to engagement.
Scope of Work
The Development Coordinator Consultant will execute the following areas of work:
Data Management and CRM Oversight
- Maintain accurate entry, reconciliation, and coding of all donations, pledges, and recurring gifts in Little Green Light (LGL).
- Conduct weekly reconciliation between online donation platforms, credit card systems, and accounting records.
- Implement data-quality controls, including weekly checks and quarterly data cleanups.
- Identify and correct data anomalies such as duplicates, missing fields, and incorrect coding.
- Document standard operating procedures (SOPs) for database use and train staff as needed.
- Coordinate with the Communications team to align Mailchimp data with LGL for accurate segmentation and messaging.
Donor Stewardship and Acknowledgements
- Prepare and send personalized acknowledgements for all gifts promptly (ideally within 72 hours).
- Create segmented thank-you templates for donor categories (first-time, recurring, major, and board-directed).
- Develop systems to ensure every donor receives appropriate acknowledgment and stewardship.
- Generate and distribute annual giving summaries by January 31 for tax purposes.
- Maintain templates, correspondence logs, and stewardship tracking systems for Advancement use.
Reporting, Analytics, and Forecasting
- Produce monthly and quarterly performance reports analyzing donation trends, retention, and campaign results.
- Develop dashboards and visuals to support Board and executive reporting.
- Provide data insights and recommendations to improve donor communication and retention.
- Prepare reconciled fundraising summaries for Finance and Advancement.
- Maintain updated metrics for total giving, average gift size, and donor growth.
Prospect Research and Grant Identification
- Conduct systematic research on prospective individual, corporate, and foundation donors and provide reports to the Advancement team.
- Create detailed donor and prospect profiles with giving history and alignment notes.
- Identify at least five (5) new funding opportunities monthly and summarize findings.
- Maintain a research tracker documenting outreach progress and next steps.
Donor Pipeline and Cultivation Support
- Prepare pre-meeting packets, donor bios, and follow-up documentation.
- Record donor engagement notes and next steps in LGL.
- Support the Vice President of Advancement with scheduling, research, and stewardship coordination.
Event and Campaign Coordination
- Support donor engagement events such as the HOPE Conference and receptions.
- Manage invitations, registration lists, RSVPs, and post-event updates in LGL.
- Generate pre-event lists, check-in materials, and post-event summaries highlighting engagement and impact.
Cross-Functional Collaboration
- Work with the Accounting Coordinator to ensure alignment between donor and financial data.
- Partner with Communications to improve donor outreach
- Contribute to process improvements that strengthen donor engagement and retention.
Deliverables
The consultant will ensure the accuracy and integrity of all donor and gift data, maintain organized systems for stewardship and reporting, and produce timely summaries for internal and external stakeholders. Deliverables will include regular fundraising and donor engagement reports, reconciliations with Accounting, prospect research summaries, and post-event data updates. A detailed scope of work and performance benchmarks will be outlined in the Consultant Agreement upon selection.
Qualifications
Required
- 2–3 years of experience in nonprofit fundraising, donor operations, or development data management.
- Proficiency with Little Green Light (LGL) or similar donor CRM systems.
- Experience with Mailchimp, Google Workspace (Docs, Sheets, Drive), and event logistics.
- Proven skill in managing donor data with precision, confidentiality, and timeliness.
- Experience producing dashboards, donor reports, and performance summaries.
- Strong written and verbal communication skills for professional correspondence and reporting.
- Ability to multitask and manage deadlines in a fast-paced environment.
- Commitment to Generation Hope’s mission and core values.
Preferred
- Familiarity with nonprofit finance or gift reconciliation.
- Experience conducting donor and grant prospect research.
Additional Details
- Either party may terminate the agreement with four (4) weeks’ written notice.
- All materials and work products created under this agreement are the property of Generation Hope.
- Consultant must complete a background check prior to engagement.
