The Institute for Educational Advancement (IEA) is seeking an Executive Assistant who will work with the president, executive team, and program staff to help develop and implement quality supplemental programs for gifted elementary, middle and high school students.

Essential Functions:

  • Provides administrative support to the President, Board of Directors and executive team, including communications, scheduling of meetings virtually or in person, data entry, document management, light bookkeeping and office organization,
  • Assists in preparation for all board and other meetings by producing meeting notices, materials, minutes, and provides related logistical support,
  • Works with the development team to manage President’s donor relations, preparation, and follow‐up,
  • Answers and screens telephone calls in a professional and courteous manner, providing helpful information to all constituency,
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues,
  • Coordinates travel arrangements, completes expense reports and processes invoices,
  • Assists with the technology needs of the organization,
  • Proactively establishes and maintains highly organized filing system, files correspondence and other records,
  • Composes, transcribes and edits correspondence,
  • Assists with and attends special events as needed,
  • Contacts vendors and service providers when requested,
  • Assists in delivering year-round supplemental programs for gifted youth by helping to process applications and prepare materials,
  • Other duties as assigned.
  • This position may include some evenings and weekends. 

Minimum Qualifications:

  • Bachelor's Degree 
  • Minimum of 3 years of executive office support experience, including light bookkeeping
  • Must be tech-savvy and proficient in Windows 7 or 10 OS, Microsoft Office Suite (including Excel, Outlook, PowerPoint and Word), and Adobe Acrobat
  • Excellent interpersonal, written and oral communication skills
  • Must have exceptional organizational skills, keen attention to detail and ability to multi-task
  • Strong project management skills
  • Ability to work independently
  • Understanding of nonprofit organizations preferred
  • Experience with Salesforce or other CRMs a plus.

Working Conditions/Physical Demands:

  • Routine for office environment. The employee will be required to attend meetings/events during evening and weekend hours.
