About Jewish Family and Community Services (JFCS)

JFCS helps thousands of people every year, through career, geriatric, counseling, refugee and immigrant, guardian, scholarship, food pantry and critical need services. The JFCS Administrative Assistant is the person who greets all callers and visitors to Jewish Family And Community Services (JFCS). As such the Administrative Assistant sets the tone as to how people will be treated by JFCS by being helpful, courteous and positive at all times. The Administrative Assistant conveys the vision of JFCS in his/her actions that we are a caring community where people have the opportunity to reach their potential and staff help people through life’s changes and challenges.
§ High School Diploma or equivalent certificate, plus minimum two years’ experience as administrative assistant.
§ Experience in operating PBX Phone system – Mitel MiVoice Office Phone system a plus
§ Excellent verbal and written communication
§ Ability to work well with the public and staff
§ Reliability and punctuality are essential
§ Computer skills including current Windows operating system
§ Knowledge of office machines, including copiers and fax machines and database systems
§ Individual who believes in the importance of the work of JFCS
§ Cultural sensibility to the diverse populations served by JFCS
§ Able to maintain a pleasant and welcoming personality at all times
§ Able to maintain confidentiality
§ Ability to work independently, as well as collaboratively with others and follow directions
§ Enthusiastic, creative and empathetic disposition
Duties and Responsibilities:
§ Answers all incoming phone calls, make triage decision and direct calls to appropriate individuals
§ Handles messaging for callers or guests
§ Receives all incoming clients and visitors – answers doorbell, ensures that security measures are followed – have clients and visitors sign in at receptionist desk
§ Collects client fees and give receipts
§ Monitors appointment schedules for clients
§ Ensures that all new clients fill out the appropriate forms
§ At the end of the day forwards calls to answering service
§ Opens and distributes all agency mail in a timely manner
§ Takes out-going mail to the post office on a daily basis
§ Keep receptionist area clean and orderly
§ Responsible for maintaining daily agency information for meetings
§ Performs clerical duties as needed – i.e. types correspondence, spreadsheets, assists with mailing for annual campaign, etc.
§ Distributes program evaluations and surveys, etc., as needed
§ Participates in training and development activities
§ Performs other related duties as assigned
