The American Association of State Highway and Transportation Officials is currently hiring an Administrative Coordinator for Engineering and Technical Services, a position located in Washington, DC.


Nature of Position: 

The Administrative Coordinator, Engineering and Technical Services, performs a wide range of secretarial, research, and administrative tasks with a strong emphasis on discretion and accuracy. The incumbent drafts correspondence and completes other word processing activities; sorts and distributes mail and other correspondence; answers and screens telephone calls as appropriate; greets visitors; and maintains a well-organized filing system to ensure the timely and effective retrieval of documents. The incumbent also maintains the Director’s appointment and travel calendars; makes travel arrangements; helps coordinate meetings and teleconferences; handles internal and external inquiries whenever possible; prepares reports summarizing survey and ballot results from committees or member departments; and provides additional administrative and logistical support as needed.


The incumbent must be able to execute assignments in a state-of-the-art process and in a timely manner; have knowledge of electronic mailings and spreadsheet tabulation ability; be able to execute a large volume of tasks related to the activities of the Director and the engineering, software development, committees, and other technical service programs served by the department.


Position Requirements:

A successful candidate will have a minimum of five years of previous executive administrative support experience that demonstrates substantial responsibility. Post-high school education is preferred, with formal and/or extracurricular training in office and secretarial skills desirable.


The incumbent must be skilled in the Microsoft Office suite of programs for word processing, graphics, spreadsheets, and the operation of conventional business equipment. The incumbent must have advanced knowledge of word processing software and microcomputer applications. The incumbent must also possess strong communications skills and demonstrate a strong familiarity with AASHTO’s organization and procedures.
