POSITION DESCRIPTION: 

Our collaborative team seeks an organized, energetic Manager of Data and Operations to join us in our mission to improve the Arlington community. This role includes the traditional tasks of office management and administration, including bookkeeping, database management and reporting in our Foundant software system. But we aren’t looking to do all the same things in the same way, and you’ll find this team is open to your ideas. We’re looking for someone who loves to dig in to systems, understand them, and then identify and implement improvements that help us serve our community better.

MAJOR RESPONSIBILITIES:

General Operational Support

o  Supervise the part-time Office Assistant to achieve overall office management goals

o  Process of contributions and grants, from initial receipt to dissemination of all required documents. Coordinate with outside accountant to resolve any discrepancies. Maintain up-to-date documentation.

o  Process accounts payable and accounts receivable.

o  Ensure timely and accurate maintenance, update, and backup of donor and grants/scholarship database and filing systems.

o  Provide administrative support for events such as Spirit of Community luncheon.

o  Provide administrative support to grants and scholarship programs and other initiatives.

o  Provide general administrative support to the President & CEO and act as liaison to the Board of Trustees

o  Manage other office administrative functions including office supplies, preparing correspondence, answering phones and greeting guests, and maintaining overall order and organization of office in coordination with the Office Assistant.

o  Provide consult for technology issues related to the Foundation’s software suite and interface with the outside information technology consultant.

Database Management and Integration

o  Maintain accurate records of individuals and businesses in the Foundant database in order to support moves management, reporting and integration with other software systems.

o  Maintain accurate records of nonprofit partner organizations, including capturing information flowing into the Foundant database system from the online grant applications.

o  Serve as point of contact for staff with questions about or problems with their use of the Foundant database.

o  Train staff as needed in the proper use of the database, developing and implementing procedures to guide data entry and maintenance, and to ensure that the database accurately captures constituent information.

Analysis and Reporting

o  Create reporting mechanisms and queries within the Foundant database for board, staff and external audiences as needed.

o  Analyze data to support metrics reporting to organization leadership.

o  Manage communication preferences for constituents and produce query-based lists for all external communications.

o  Work proactively and responsively with each department to identify ways the database can be used inform current and future work, and capture historical context.

Gift Entry and Acknowledgment Processing

o  Record all contributions to Foundation funds in the Foundant database and generate donor acknowledgment letters.

o  Identify and capture pertinent information during gift entry process, updating records within the database to preserve data integrity, reflect donor preferences and ensure the confidentiality of gift and constituent records.

PREFERRED QUALIFICATIONS

·       Deep interest in and commitment to philanthropy and the work of the Community Foundation, with a demonstrated commitment to the Arlington community, its people and their concerns

·       Minimum of 5 years of related work experience required

·       Experience with day-to-day operational bookkeeping under the oversight of a CPA contractor

·       Computer proficiency including knowledge of Microsoft Office, CRM software (familiarity with Foundant preferred) and a willingness to learn all appropriate Community Foundation software

·       Strong analytical skills with an ability to organize and prioritize work and manage multiple priorities simultaneously

·       Superior attention to detail

·       Ability to work independently, take initiative, participate as an effective team member and follow tasks through to completion

·       Superior customer service skills to external and internal constituents. Excellent listening skills, follow through and problem-solving abilities

·       Proficiency in database administration and logic, prospect and constituent management, data imports and exports, developing reports

TIME REQUIREMENT

This is a full-time, exempt position requiring 37.5 hours per week plus occasional early and late hours for meetings onsite and offsite. Work hours are 9:00 a.m. to 5:00 p.m. with some flexibility.

SALARY

$65,000 – $75,000/year dependent on experience
