About the Job

The Site Coordinator will work 25 hours a week, and is responsible for coordinating the day-to-day operations of UAP programs that take place at one of UAP’s Brooklyn community school sites: Middle School for Art & Philosophy.  This will be an on-site school-based position located in the East Flatbush/Brownsville area. The coordinator will be an integral part of the school community working collaboratively with the school’s senior leadership, afterschool staff, partnering community-based organizations, and UAP’s programs department to coordinate and support the after school and family engagement goals for the 21st Century Community Schools initiative.  The Site Coordinator will be trained and supervised by the Community School Director for the first month and by the 21C Project Director thereafter.


This position is temporary and it’s expected to end on June 2019.


Key Responsibilities:

  • Support observations and evaluations of a cohort of up to 6 TAs
  • Provide part-time administrative and logistical support for on-site 21C program administration
  • Oversee collection and organization of 21C attendance sheets from programs
  • Input of 21C attendance data into Youth Services data management system
  • Review, approve and track timesheets, purchase orders, reimbursements, and equipment requests
  • Track teaching artist sessions and supply budgets in spreadsheet
  • Update 21C Budget tracker with expenses and receipts
  • Support general administrative work including make copies, file documents online, transcribe meeting notes and set up/break down meeting spaces
  • Attend UAP department meetings and afterschool planning meetings, as necessary
  • Monitor and strategize on recruitment and retention efforts for after school participation and parent engagement
  • Collaborate with teaching artists and programs staff to plan showcases and accompany field trips and school-wide events, as needed
  • Coordinate photo, video, and audio documentation of classes and workshops
  • Cultivate and strengthen relationships with school administrators through frequent communication
  • Works with external evaluators and program staff to measure programmatic, operational, and youth outcomes; ensures all reporting on these outcome is done accurately


Key Skills, Abilities and Experience:

  • At least 1-3 years of administrative experience
  • At least 1-2 years of experience in school environments
  • Manages the Work: Prioritizes work based on what’s important to the department
  • Builds Relationships: Works effectively with people with diverse styles and backgrounds
  • Builds effective working relationships within and across departments and schools
  • Communicates and collaborates effectively with staff and partners
  • Proficiency with Google Drive and Microsoft Office platforms
  • Familiarity with Salesforce is a plus
