The Assistant Director of Advancement Operations assists the Director of Advancement Operations in the implementation and execution of programs designed to strengthen the operational effectiveness and support the initiatives and goals of the Office of Advancement. This is an on-site, full-time, 12-month Administrative and Professional Staff position reporting to the Director of Advancement Operations.


  • Assist the Director of Advancement Operations in the implementation of policies to guide the overall organization and maintenance of the division database of record to ensure its accuracy and effectiveness.
  • Retrieve gift information for donations made through the lockbox, phoning program, and online platforms and prepare data for upload to the database of record.
  • Perform weekly and monthly data integrity audits to identify and correct errors and inconsistencies in the database of record.
  • Work with the Director of Advancement Operations on database projects involving changes to coding systems, the reorganization of data and structures, and ongoing cleanup and maintenance.
  • Manage the process of organizing data and updating constituent records for projects such as surveys, reunion planning efforts, and other larger scale collections of updated constituent information.
  • Prepare data files and financial reports for the office of Finance and collaborates with appropriate staff on any issues related to reconciliation.
  • Coordinate the receiving and processing of stock gifts.
  • Oversee the process of organizing, coding, and maintaining various alumni and volunteer groups.
  • Manage recurring gifts and quarterly pledge reminders.
  • Coordinate the annual charitable state registration renewals.
  • Serve as a resource for staff regarding how data is organized and recorded and respond to requests for assistance in utilizing the database.
  • Assist the Associate Director of Advancement Operations with the database training program.
  • Undertake special projects and duties as directed.

Level of Language Proficiency

  • B.A. degree, 2-3 years of experience in development, or equivalent experience.
  • Excellent computer skills, particularly with use of relational databases; competence with Microsoft Office applications, especially Excel.
  • Strong critical thinking skills and the ability to identify and correct data inconsistencies.
  • The ability to work both independently and collaboratively as a member of the Advancement Operations team.
  • Demonstrated ability to plan, manage, and monitor multiple projects simultaneously and work effectively under time constraints.
  • Competency in problem solving and navigating a complex working environment.
  • Strong organizational skills with a demonstrated data and systems approach.
