City Year Chicago’s Impact Department encompasses 39 staff members supporting 200+ full time Corps volunteers, 32 school partner sites, and a variety of external partnerships in coordinated pursuit of City Year’s mission. The Impact Operations Director, reporting to the Managing Director of Impact, has broad responsibility for coordinating operational activities to drive Impact staff effectiveness in productivity, collaboration, compliance, and alignment across the full range of the Impact sub-departments, teams and worksites throughout the city of Chicago. Supported by an Impact Operations team of three full-time direct reports, the Impact Operations Director directs routine workstreams and special projects involving cross-functional teams that include members of other departments and peers on the Senior Leadership Team, identifying and codifying solutions to site challenges in collaboration with other Senior Leadership Team members. The Impact Operations Director also cultivates and manages external partnerships that interface with Impact Operations.Job Description

Responsibilities 

 

Summary 

  • Supervise three full-time operations team staff members with individual functional responsibilities for Impact systems, compliance, resource and program management, along with the collective responsibility of serving as a rapid response unit for immediate organizational needs 
  • Lead cross-functional projects and workstreams involving contributors from across the organization to drive organizational impact along with the experience of Impact Staff and Corps 
  • Manage relationships with key external partners that interface with Impact Operations and the AmeriCorps member experience 

 

Systems, Administration & Compliance 

  • Supervise Senior Manager of Impact Systems and Administration to optimize Impact productivity and alignment, while ensuring compliance with City Year, AmeriCorps, and local regulations and guidelines 
  • Manage relationships with the relevant CY national offices and other partners who regulate Impact and AmeriCorps Member activities, including the state AmeriCorps commission Serve Illinois and the CPS Office of Safety and Security 
  • In collaboration with stakeholders across the organization, develop and maintain scalable systems that facilitate efficient, aligned operations with focus on the following applications: 
  • Compliance activities 
  • Project management and workflow 
  • Internal communications and information management 
  • Impact Manager productivity 
  • Develop and maintain documentation to support Impact team member adherence to systems and protocols 

 

Program Management 

  • Supervise AmeriCorps Member Experience Manager to coordinate sitewide programming that optimizes AmeriCorps Member engagement and retention 
  • Lead engagement programming at the site level for both current and incoming cohorts of AmeriCorps Members 
  • Plan and facilitate registration, onboarding and offboarding activities for AmeriCorps Members throughout the year 
  • Manage collection of AmeriCorps member feedback through surveys, town halls and roundtable focus groups, and coordinate feedback response 
  • Coordinate with Learning & Development Director to identify and develop training needs for staff to effectively support AmeriCorps members 
  • Maintain Impact Department calendar and regular news feeds 
  • Guide sitewide implementation of AmeriCorps Member performance management systems 
  • Provide direct support to individual AmeriCorps Members and their supervisors on navigating benefits, as well as unique or complex concerns 
  • Manage external partnerships with the Chicago Transit Authority and Adler Clinician Services 

 

Resource Management 

  • Supervise Senior Manager of Impact Operations to optimize the logistics, flow and management of Impact’s non-personnel resources 
  • Track and approve Impact Department budget expenditures 
  • Manage inventory, distribution and recovery of materials, supplies and equipment across the CYCHI office, offsite storage and all partner service sites 
  • Manage external relationship with offsite storage facility 
  • Plan and coordinate Impact events to ensure that all are properly resourced and executed 

 

Qualifications 

  • Bachelor’s Degree
  • Demonstrated proficiency in systems-level thinking and project leadership 
  • Minimum of three years’ professional experience, including some experience in leading, coaching, or managing others 
  • Experience in management, non-profits, youth work, or education preferred 
  • Demonstrated ability to work with and influence diverse cross-functional teams 
  • Exceptional standards for professionalism and integrity 
  • Excellent relationship-building and communication skills, written and verbal 
  • Ability to respond with sound judgment to occasional after-hours emergency circumstances 
  • Proficiency with MS Office
