Department: Legal, Organizing, & Advocacy   

Unit: Organizing and Group Advocacy Unit 

Reports to: Managing Attorney for Organizing and Group Advocacy 

Location: Main Office: 45 Wadsworth Avenue, New York, N.Y. 10033 

FLSA: Exempt 

Model: Hybrid, 1 day per week in office 

 

 

SUMMARY OF RESPONSIBILITIES: 

 

The Program Manager is a position in the Legal, Organizing, & Advocacy (LOA) Department responsible for providing programmatic and administrative support for NMIC’s organizing and group advocacy work, including monitoring compliance and performance on contracts with government agencies, coordinating internal and external referrals, and leading meetings with NMIC and other contract partners to ensure contract performance. The Program Manager will work closely with unit leaders to ensure that clients receive high-quality service delivery and that unit administrative systems are efficient and effective. 

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: 

 

Data Capture & Contract Performance 

  • Coordinate internal and external meetings with contract partners to review contract performance and ensure proper data collection/entry. 
  • Ensure necessary client and service data is fully captured and entered into both NMIC’s internal database and external databases required for contract performance and reporting. 
  • Ensure partner organizations collect and provide required client and service data. 
  • Provide support on data collection practices to ensure efficient, comprehensive, reliable, and valid data entry. 
  • Assist in continuous review and evaluation of external database data entry practices; assist in modifying data entry practices to ensure that they are systematic and efficient. 
  • Monitor contract performance and ensure that NMIC and partner organizations are meeting ongoing contract performance goals. 

 

Communication & Referrals 

  • Serve as the primary liaison between the Organizing and Group Advocacy Unit and external HUD contract partners for critical communication including, but not limited to, deadlines, data capture, and contract deliverables. 
  • Facilitate recurring meetings, both with internal unit staff and external HUD contract partners, to monitor contract performance and identify and resolve issues that may arise. 
  • Develop unit expectations and policies around internal and external communication including, but not limited to, response times, professionalism, closed-loop communication, etc. 
  • Manage internal and external referrals for group advocacy and legal representation. 

 

Program Management & Staff Support 

  • Assist staff in generating building profiles as the basis for organizing and group legal advocacy work. 
  • In collaboration with unit staff, implement building work plans to structure organizing and group legal advocacy work. 
  • Support NMIC unit organizing and legal staff in fulfilling organizing and legal work goals 
  • Provide advice and support to unit-level leaders. 
  • Provide additional advice and supervision to department staff members in collaboration with unit level leaders where appropriate. 
  • Ensure department-wide administrative systems and processes are maintained, and that staff correctly utilize established procedures. 
  • Continuously assess and improve upon departmental structures (e.g., administrative, communication, etc.) and operations. 

 

Additional related responsibilities may be assigned. 

 

Requirements: 

  • Bachelor’s degree preferred, equivalent combination of education and experience will be considered.  
  • Exceptional interpersonal, communication, and customer service skills. 
  • Detail oriented and strong organizational skills.  
  • Experience with program supervision and leadership skills preferred. 
  • Bilingual (English/Spanish) preferred. 

 

 

Additional Covid-19 Information

Per New York City guidelines for contractors, the Covid-19 vaccine is mandatory for NMIC staff whose positions require them to work in person. Medical and religious accommodations may be requested and if granted will require weekly Covid-19 testing. Vaccination status will only be requested at the time of hiring by Human Resources. NMIC staff are required to follow all stated safety protocols including mask and social distancing guidelines. 

 

SALARY/BENEFITS: NMIC offers a competitive salary based on experience and education as well as a comprehensive and generous benefits package: medical, dental, life, and disability insurance are included; paid time off, including 20 vacation days, 15 sick days, 5 personal days, and 12 agency holidays; a 401k with agency contribution; and other benefits.
