NAPABA is seeking a passionate and skilled Executive Assistant to provide critical operational support to the Executive Director and ensure smooth, day-to-day functioning or the organization as a whole. The individual will have the opportunity to learn about all aspects of the organization to further NAPABA’s mission and deliver on our vision by optimizing our governing, membership, financial, and staffing models and procedures. The ideal candidate will be highly-organized, efficient, goal and process oriented, reliable, and proactive.

SUMMARY OF FUNCTIONS

The Executive Assistant will report directly to the Executive Director and is responsible for ensuring proficient outcomes in the areas of, but not limited to: administrative and financial support, calendar management, account and vendor management, governance support, timely correspondence, and data entry.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide administrative support to the Executive Director. Oversees schedule, drafts correspondence, conducts internet research, arranges travel, handles and routes phone calls and correspondence as needed, and maintains files.
  • Improve processes and procedures in support of organizational goals, proposing departmental and organizational policies to maximize efficiency.
  • Manage day-to-day financial duties to include check deposits, records maintenance, and coordination with accountant as necessary.
  • Serve as a primary staff support for Board of Governors meeting, responsible for compiling reports, preparing agendas, planning logistics, distributing materials, and other necessary support.
  • Assist with travel arrangements and scheduling.
  • Maintain office supply orders and subscriptions.
  • Manage account management and vendor relations, ensuring “best price” for needed services.
  • Assist with hospitality tasks for NAPABA visitors and meetings.
  • Ensure effective and timely communication at all levels of NAPABA operations.
  • Other duties as assigned by Executive Director.

ORGANIZATIONAL RELATIONSHIPS

Reports directly to the Executive Director. Coordinates with the NAPABA Treasurer, Secretary, accountant, and vendors. Consults with staff on identifying efficiencies within operational management.

EDUCATION AND QUALIFICATIONS

  • Bachelor’s degree from a recognized institution or five years of non-profit related work experience.
  • At least 3 years’ experience in an executive support role.
  • Discretion in handling sensitive personnel information is a must.
  • Excellent member-oriented ethic and ability to interact positively and effectively with a variety of audiences (including internal and external stakeholders) using written, verbal, and nonverbal communications.
  • Experience in board management and meeting logistics.
  • Strong computer skills, with experience in a variety of applications.
  • Ability to work accurately and efficiently under pressure and with multiple deadlines.
  • Strict attention to detail.
  • Capacity to adapt to new issues as they emerge.
  • Ability to use good judgment and work independently in a multi-task position.
  • Solid time management and organizational skills.
  • Ability to interact effectively with staff, membership, the public, the board of directors, and volunteers.
  • Fluency or ability to develop fluency with work process tools used by the team, including Slack, Asana, Box, and others.

PHYSICAL REQUIREMENTS

  • Remote work possible.
  • Must be physically located in the DC/VA/MD area and present on-site and available throughout the Convention and other NAPABA events as necessary.
  • Travel is estimated at one to two weeks in a 12-month period.

SALARY

$50,000 - $55,000 commensurate with experience
