Position Summary: The Grants Coordinator is responsible for researching and writing letters of inquiry and grant proposals for private foundations and government grants, meeting compliance requirements and deadlines for applications and reports. The Grants Coordinator will establish and cultivate excellent relationships with grant makers, as well as be an ambassador of the organization at public events. This person is also responsible forinitiating, recommending and preparing public information materials in a variety of written formats including but not limited to the organization newsletter. The Grants Coordinator is part of a five person Communications and Development team and also works collaboratively with members of the staff in all areas of the organization.

Key Tasks and Responsibilities: This statement of duties is for purpose of identifying this position but it is not limited to:

1. Research

  • Conducts research to determine grant opportunities appropriate for the mission of the organization;
  • Maintains a database of grant maker research results to include relevant focus areas, geographical focus, process, format, deadlines, likelihood, difficulty, similar grantees, dollar range, etc.;
  • Creates a strategy to ensure a minimum of grant proposals are written monthly.
  • Maintains a schedule of upcoming, LOI, grant application and reporting deadlines.

2. Writing

  • Works with the Director of Communications and Development to determine priority of grant proposals to be written;
  • Works with other departments to secure information needed for grant proposals;
  • Drafts letters of inquiry and grant proposals according to the requirements of each specific grant maker;
  • Reviews, edit and finalize each document for submission on a timely basis;
  • Responds in a timely basis to new grant opportunities
  • Works with fiscal team in preparing narrative justification for purchase of new equipment and other budgetary expenditures this for the development of grant budget.

3. Reporting

  • Maintains accurate reporting as required by the grant maker;
  • Inform senior team monthly of the status of grant proposals, dollar amount of requests made, funding received, reports due, and other issues related to each grant.
  • Prepares statistical, technical, and administrative reports. Collects and analyzes data to determine and evaluate program effectiveness.
  • Assist with grant audits as required
  • Tracking and recording of grant success rates, based on total applications, ranking, and variance of amount requested to awarded

4. Relationship Building

  • Establish and cultivate relationships with grant makers/program officers
  • Collaborate with all departments to maintain current statistics and information needed for grant applications.
  • Acts as liaison to development community together with Director of Development and Communications by attending local funding forums, philanthropy days, business fairs, and peer-based training opportunities.

Additional Qualifications:

  • Bachelor’s Degree required
  • Able to work in the U.S.
  • Minimum of 2-4 years of high volume writing experience required
  • Understands basic granting structures, including NYS Grant application.
  • Strong planning and organizational skills
  • Ability to gather and synthesize data
