Client Services Program Assistant Job Description:

Position:  For hundreds of families the Issaquah Food & Clothing Bank is the first place they visit when they need a little extra help. We not only provide our community with the most basic of needs; food, clothing and financial assistance for eviction prevention, we provide heart, hope and comfort. If you care about this mission, we are looking for a qualified candidate to join our team. AmeriCorps positions targets candidates between the ages of 17-25. We are a thriving nonprofit, filled with positive energy and endless potential. The essential role of the AmeriCorps Client Services Assistant is to interface with our clients during client service hours, support the Operations Coordinator with daily program details and assist our Program Coordinator with Groceries to Go. Position is primarily in a warehouse-like setting and requires the ability to regularly lift items of up to 50 pounds. The average weight of food managed and moved weekly by a team of volunteers is 25,000 pounds. Candidates must be independent, self-motivated, organized, effective at leading diverse large groups, individual volunteers, and skilled at interfacing with the public. Position hours are full time, and will vary on a regular schedule from evening shifts to day shifts. AmeriCorps stipend is $2,549.88 per month with a $6,195 tuition reimbursement upon completion of program. Additional benefits include: insurance and childcare depending on income.  Position is under the day-to-day supervision of the Program Manager.

REPORTS TO:  Program Manager 

JOB SUMMARY:  

Ensure a high level of customer service in all client facing programs of the Issaquah Food & Clothing Bank. This includes leading and guiding volunteers, providing education, training, direct leadership and helping manage conflicts. This position is responsible for connecting with clients and volunteers during client shopping hours. The Client Services Assistant will work closely with the Program Coordinator to manage food bank set-in and food distribution, as well as with the Operations Coordinator to manage inventory organization.  

DUTIES AND RESPONSIBILITIES:  

1. Ensure the IFCB client services areas are ready for services, including:  

-Work with the Program and Operations Coordinator to ensure Food & Clothing Bank volunteers are organized, ready to serve clients and have a clear understanding of customer service expectations. 

-Providing front of house leadership to volunteers and clients during open hours.  

-Be present during open hours to build relationships with clients to improve overall client experience at IFCB.  

-Leading teams of volunteers in the completion of their assigned duties.  

2. Manage the organization of the food bank inventory. 

3. Work with fellow IFCB leaders to provide logistical, administrative and leadership support on special programs including: Groceries to Go, Lunch for the Break, Issaquah Power Packs, Summer Lunch, Holiday Gift Barn and Tools 4 School. 

4. Develop and maintain positive, collaborative working relationships with volunteers and other community organizations. 

5. Act as an ambassador for the Issaquah Food & Clothing Bank. 

6. Participate in disaster or emergency-related duties, as needed.  

7. Provide support to fellow department team members, as well as outside departments, as needed.  

8. Attend training as requested.  

9. Perform other duties as assigned by supervisor.

QUALIFICATIONS 

EDUCATION/EXPERIENCE:  

Two years of program or customer service leadership experience. Experience working in a food pantry or similar operation. Bilingual skills preferred.   

KNOWLEDGE, SKILLS AND ABILITIES:  

A. Knowledge of and experience with all aspects of program coordination.

B. Knowledge of customer service and how to lead a team in providing quality services. 

C. Ability to prioritize tasks and duties and multitask in a busy environment. 

E. Ability to organize, set priorities and meet deadlines.  

F. Ability to lead and motivate volunteers.  

G. Ability to exercise good judgment and discretion; maintain confidentiality of clients, co-workers and agency.  

H. Ability to relate well to individuals of all backgrounds and socio-economic levels.  

I. Ability to communicate effectively with clients, donors, volunteers, and coworkers verbally and in writing.  

J. Ability to work independently with a minimum of supervision.  

K. Ability to operate and use general office equipment and basic computer knowledge. 

L. Ability to maintain a flexible schedule, including being able to work evening and weekend hours.  

M. Ability to safely and repeatedly lift 50 pounds throughout an 8-hour day. 

N. Experience with conflict resolution. 

O. Competency with Microsoft Office and online reporting tools. 

P. Familiarity with using an inventory management system. 

Operations Program Assistant Job Description

We are a thriving nonprofit, filled with positive energy and endless potential. The essential role of the Mobile Food Bank and Warehouse Assistant is two-fold: First, to ensure the smooth transition of food to the Food Bank from the warehouse and vice versa, by using teams of volunteers to organize and inventory food. The second is to assist in leading our Mobile Food Bank by ensuring adequate and appropriate inventory at each site, leading and empowering volunteers to coordinate the program. 

Position is primarily in a warehouse-like setting and requires the ability to regularly lift items of up to 50 pounds. The average weight of food managed and moved weekly by a team of volunteers is 25,000 pounds. Candidates must be independent, self-motivated, organized, effective at leading diverse large groups, individual volunteers, and skilled at interfacing with the public. JOB SUMMARY:  

Assist in the operation of the Issaquah Food and Clothing Bank (IFCB) offsite warehouse, including the transport and sorting of food. This could include intake and distribution of food, along with maintenance of physical layout of the space to ensure efficiency, cleanliness, safety and security. Assist in the operation of the Mobile Food Bank Program, including the loading and transportation of food in an IFCB or volunteer vehicle, managing volunteers, and connecting with clients at the Mobile Food Bank Program. 

This position provides leadership for volunteers and will be available to support staff and volunteers throughout the week. 

DUTIES AND RESPONSIBILITIES:  

1. Lead volunteer groups and work independently at offsite warehouse. Responsibilities include:  

-Sort and quality check new food donations 

-Work with IFCB Operations Coordinator to determine what food is needed for Food Bank 

-Create pallets of needed food, regularly rotate inventory, and maintain inventory tracking 

-Transport pallets of food to and from IFCB on regular schedule 

-Ensure appropriate variety and quantity of food on site at IFCB and Mobile Food Bank sites 

2. Assist in leading Mobile Food Bank Program operations. Responsibilities include: 

-Lead Mobile Food Bank volunteers 

-Work directly with Mobile Food Bank clients 

-Ensure appropriate variety and quantity of food at Mobile Food Bank sites 

-Address complaints and/or conflict calmly and kindly 

3. Participate as a key member of the IFCB operations team, working closely with operations and client relations/program coordinators on integrating and streamlining all IFCB operations.  

4. Develop and maintain positive, collaborative working relationships with staff members, volunteers, and other community organizations. 

5. Stay informed in all areas of food safety standards and warehouse safety and security standards. Perform all duties in conformance with appropriate cleanliness, safety and security standards.  

6. Act as an ambassador for the Issaquah Food and Clothing Bank. 

7. Participate in disaster or emergency-related duties, as needed.  

8. Provide support to fellow program team members, as well as outside program areas, as needed.  

9. Attend training as requested.  

10. Perform other duties as assigned by supervisor.
