Administrative Assistant, Resource Development and Finance Administration

Massachusetts Institute of Technology (MIT)


The MIT School of Architecture and Planning (SA+P) seeks an individual to provide complex administrative support for its assistant dean for resource development and manager of finance and HR administration.


Responsibilities:

·        Will assist with prospect identification and management; prepare and organize donor and prospect meetings; maintain correspondence, donor files, and spreadsheets; assist with creating fundraising materials; assist with calendar, event, and travel management; manage gift acknowledgment process and oversee gift tracking and reporting; manage student prizes and organize faculty review committees; participate in identifying, cultivating, soliciting, and stewarding prospects; and work with individual giving officer to develop, support, and maintain gift and donor stewardship systems and activities.

·        Financial duties include monitoring cost object activity, monthly reconciliation, and researching/correcting discrepancies; preparing and processing requisition requests, journal vouchers, requests for payment, expense reports, and purchase orders; maintaining office supplies; and tracking professional memberships/subscriptions.

·        Will also greet visitors and handle inquiries; carry out routine office duties, e.g., mail, food orders, meeting setup/cleanup; provide occasional support to others in the Dean’s Office; and perform other duties as needed. 

·        May have the opportunity to manage a prospect portfolio.


Requirements:

·        A high school diploma or its equivalent; Bachelor’s degree preferred.

·        At least three years’ administrative/office or related experience; excellent organizational, interpersonal, customer service, and verbal and written communication skills; keen attention to detail; discretion with confidential information; proficiency with Microsoft Office, FileMaker Pro, and PowerPoint; and ability and willingness to learn new software quickly. 

·        Must be able to take initiative, prioritize, handle multiple tasks concurrently, work effectively under pressure of deadlines, function independently and as part of a team, and support staff at all levels. 


May be required to work nights, weekends, and travel occasionally.
