JDC is seeking a skilled Travel Coordinator to be the go-to person for employee, board member, and donor travel plans in the US Headquarters office. The Travel Coordinator will interface with people at all levels of the organization, and must be a diplomatic and tactful communicator. They will manage the logistics of travel, including flights, ground transportation, and hotel bookings. The organization will rely on their ability to create an accurate and seamless experience for everything from CEO site visits to donor missions, so detail-orientation and customer service are essential.

The position is based in New York reporting to a manager overseas, so the coordinator must be self-directed and able to work in a self-sustaining manner. Due the nature of varying travel schedules and time zones the Travel Coordinator is expected to check email after-hours as needed, and reply promptly when urgent matters arise; dedication and a flexible schedule are required.


What will you do as a Travel Coordinator?

  • Coordinate every aspect of travel arrangements for employees and service providers, from booking and logistics to communication of details
  • Arrange travel for visitors from abroad, including ground arrangements
  • Manage communications with service providers in the USA and abroad, such as travel agents, hotels, drivers, visa issuance, etc.
  • Monitor implementation and compliance with the rules and procedures of the global travel program
  • Track, manage, and submit travel-associated invoices and payments
  • Manage and adhere to a strict budget
  • Prepare monthly and annual reports using computerized travel system (Concur) and Excel
  • Provide exemplary customer service to both internal and external clients
  • Become the go-to person in the United States for all travel-related needs, going above and beyond approving submitted travel requests to encouraging staff to make requests through you
  • Be available in the office and, when necessary, after-hours to handle urgent travel issues
  • Utilize excellent judgement to make unaided and timely travel-related judgements on the spot, when needed
  • Other related duties as assigned


What qualifications do you need to be our Travel Coordinator?

  • Prior experience in a similar field – travel, administration, coordination, or operations - required
  • Experience generating reports in Excel required, including creating pivot tables, VLOOKUPs, and some comfort with formulas; Experience with Concur or similar travel booking systems preferred
  • Excellent attention to detail and multi-tasking skills required, with high standards of accuracy
  • Client/customer service orientation and team mindset required, willing to pitch in as needed
  • Flexibility with schedule to assist staff as needed required
  • Excellent communication skills, tact, and diplomacy required
  • Ability to think proactively, problem solve, prioritize and delegate in stressful situations required
  • Ability to make judgements on one’s own required, comfortable working across time zones with a manager and team in Israel
  • Cultural awareness required, with strong social intelligence and the patience to avoid or work through misunderstandings in a global environment
  • Appreciation for the importance of accurate, timely travel-booking to the functioning of a global nonprofit required
  • Passion for humanitarian work and/or global service strongly preferred


Additional Details

  • Employment Type: Full Time
  •  Hours: 35 hrs/week 8:45 AM – 4:45PM, with flexibility to be available for urgent travel needs outside of formal work hours, and the ability adjust hours on occasion for meetings or calls in international time zones.
