Non-profit Animal Welfare Organization in Midtown Area


A non-profit animal welfare organization in NYC is looking to hire an Executive Assistant to provide support to the Executive Director and NYC Office.


Organization Description:

Non-profit animal welfare organization focusing on providing awareness and support to international animal welfare causes through grants, medical supplies, disaster relief and fundraising. Committed to many international and domestic issues with a variety of education and support initiatives.


Position Description:

The Executive Assistant is responsible for managing the day-to-day operations of the office of the Executive Director. General support and communication with other staff, consultants and board members will be required. Speaking with donors and supporters on a daily basis and anticipating needs and proactively addressing issues and requests. Responsibilities will also include keeping the calendar and files for the organization and collaborating closely with other staff members. Must be able to be trusted with confidential information and understand discretion.


Essential Duties and Responsibilities:

Providing support to Executive Director

Managing communication between staff and board

Schedule management and coordination for all organizational activities

Planning meeting agendas and providing meeting support

Organize and maintain files and records for NYC office

Deep understanding and knowledge of program operations

Monitor internal and external duties and provide reminders

Answer office phones and return voicemails in a courteous and professional manner

Managing general SPCAI email account, responding and distributing requests to appropriate staff

Daily communication with donors and prospective donors through email, mail, and over the phone

Compiling donations for deposit and sending receipts in a timely manner

Maintain database organization

Note taking skills for staff and board meetings

Act as liaison between Executive Directors office and donors and supporters

Manage general office responsibilities

Various long term and short-term projects as directed


Required Skills/Knowledge:


·      Strong commitment to animal welfare

·      4 year degree from accredited university

·      Minimum of two years experience in administrative capacity

·      Ability to self motivate and work independently and within a team

·      Strong proficiency in Microsoft Office (Word, Excel, Powerpoint)

·      Strong written skills

·      Ability to meet deadlines and manage time efficiently

·      Positive, pleasant and optimistic outlook

·      Organized, independent, reliable and honest with a detail-oriented personality

·      Professional, strong communication skills

·      Willingness to learn and help with organizational needs

·      Creative problem solving skills and strategic thinking
