SALARY:       Salary commensurate with professional experience. Excellent benefits including medical, dental, vision, life insurance, 401K plan and 24 vacation day per year.

JOB SUMMARY:

The Bookkeeper/Clerk position follows clearly detailed specific procedures in completing several clerical steps performed in a prescribed or slightly varied sequence, such as coding and filing documents in an extensive alphabetical file; could involve simple posting to individual accounts, opening mail, calculating and posting charges to departmental accounts, operating basic office equipment, computer programs, and front desk coverage. 

EDUCATION, EXPERIENCE AND REQUIREMENTS:

  • Associates of Arts Degree required; Bachelors of Arts preferred.
  • One (1) year of previous bookkeeping or accounting experience required.
  • Experience with the various aspects of the payroll systems including calculations and time and attendance tracking preferred.
  • Proficiency in Microsoft Office Suite (Word, Access and Excel) and Google email.
  • 1-3 years general office assistant experience required.
  • Ability to work on multiple task simultaneously, and pay attention to details with a high degree of accuracy and priority to meet deadlines. 
  • The ideal candidate should be a strategic thinker and problem solver.
  • High level of proficiency in administrative work, computer skills and record-keeping.
  • Candidate should be flexible, cooperative and willing to work in a team environment.
  • Communicate effectively with staff, customers, visitors and vendors.
  • Provide quality customer service and maintain productive work relationships.
  • Ability to follow company, department and regulatory policies and procedures.
  • SCR Clearance Both DOI and DOE Fingerprints must be done.

ESSENTIAL JOB RESPONSIBILITIES WILL INCLUDE:

  • Supports accounting operations by reconciling statements, paying bills, working with vendors and suppliers.
  • Maintains vendor contracts, running in-house software accounting program. 
  • Works with vendors and suppliers to ensure up-to-date contracts and proper billing.
  • Collection and Recording of Child Care Fees.
  • Preparation of Deposits to Finance Department.
  • Prepare Parent Fee Summary Reports
  • Prepare CACFP Food Claims
  • Perform Attendance and Enrollment Tracking
  • Staff Payroll (calculate payroll and track sick/vacation)
  • Assists in other office duties as needed or assigned from time-to-time.
  • Enter the daily attendance into COPA.
  • Run and print reports monthly as needed for Family Services Staff.
  • Prepare monthly attendance reports for the Department of Education.
  • Work closely with the Family Services Staff and assist with entering applications into COPA, or any other information related to children’s information including follow-up conversations/contacts with parents as they happen through out the day.
  • Manage inventories for janitorial supplies and for office supplies.
  • Basic office help by answering phones, translating for teachers and parents, check mail daily and distribute accordingly, file documents into master binders and child files, greet parents when they come in and assist them when needed.
  • Perform recruiting, translating for home visits, filing, and generate weekly reports enrollment.
