About the Role:

The Human Resources and Operations Manager is responsible for managing and monitoring SPY’s operational systems, processes and policies of the organization in support of its mission. This person works closely with the Director of Operations in ensuring all systems are running efficiently.

What You'll Do:

  • Manage human resources department needs, including assistance in employee recruitment, interview scheduling, employee and volunteer clearances, offer letters, onboarding paperwork, new hire orientations, and employee performance reviews.
  • Ensure all HR policies, procedures and training programs are consistently administered, are aligned with organizational goals and are in compliance with professional and federal regulatory standards; monitor adherence to rules, regulations and procedures.
  • Develop, update, and maintain current job descriptions
  • Receive, manage, and guide responses to complaints from staff, volunteers, interns or contractors.
  • Coordinate and implement staff meetings, staff development trainings, and employee appreciation events and retreats. Record notes at staff meetings and other trainings as needed.
  • Assist with all facilities’ operational needs, including but not limited to payment of rent and utilities, and managing construction/renovation projects and building security, scheduling maintenance and repairs, and ordering of items.
  • Liaise, manage and support staff with employee benefits including medical insurance, dental, retirement plans, flex plans, etc.
  • Evaluate current operational systems and provide suggestions on new systems as needed.
  • Maintain, administer and train others on effective use of platforms and systems, including HR, paycheck and benefits software.
  • Liaison with Community Partners (fiscal sponsor of the organization) with respect to various administrative support services in areas such as human resources, risk administration and insurance.
  • Manage organization’s liability insurance policies, and implements any procedures/ policies needed for staff, volunteers, clients, facilities and events.
  • Develop, revise, and monitor all ADA, health and safety standards and policies.
  • Calendar renewals for all facilities to ensure operation with appropriate permits and compliance.
  • Assist with driving sustainable improvement with a relentless focus on productivity and cost.
  • Work closely with the Director of Operations on other organizational matters as needed, including strategic planning issues, budget matters, staff development and other organizational development issues.

What You'll Need:

  • Commitment to and passion for the mission, vision, values and culture of SPY.
  • Bachelor’s degree required.
  • Knowledge of human resources best practices and California laws.
  • High level of confidentiality and integrity when dealing with sensitive matters.
  • At least 3 years of experience in an operational role.
  • At least 2 years of experience in the non-profit sector.
  • Excellent communication skills both verbal and written.
  • Knowledge of government contract and grants management.
  • Knowledge and experience in organizational effectiveness and operations management implementing best practices.
  • Demonstrated ability to manage major projects or initiatives.
  • Excellent interpersonal skills and a collaborative management style.
  • A demonstrated commitment to high professional ethical standards and a diverse workplace.
  • High comfort level working in a diverse environment.
  • Impeccable editing and proofreading skills.
  • Attention to detail.
  • Must have reliable transportation and possess a valid California driver’s license and proof of insurance.
  • Successfully pass a Live Scan background check after receiving an offer of employment and provide proof of TB test or PPD Risk assessment within the last 60 days.
