Overview: The mission of School’s Out Washington (SOWA) is to provide services and guidance for organizations to ensure all young people have safe places to learn and grow when not in school. School’s Out is dedicated to building community systems to support quality afterschool, youth development summer programs for Washington's children and youth ages 5 through young adulthood through training, advocacy, and leadership.

School’s Out Washington is currently seeking a part-time Scheduling & Data Assistant to provide administrative assistance in scheduling external assessments. This position will focus on supporting SOWA’s external assessors and the youth-serving programs they observe.

Position Summary

The Scheduling Assistant will support SOWA’s statewide Program Quality Assessment systems to the support the Youth Program Quality Initiative (YPQI). This includes processes for information collection and tracking, data collection, and scheduling of all assessment visits. This position will be the primary point of contact for external assessors scheduling site visits. This role will also support other system data entry needs across the organization. ] This position is for up to 20 hours per week as a temporary position through June 30th 2020 at a rate of $17-19 per hour. These hours are flexible but should be completed weekdays between 9:00 AM and 5:00 PM and may be completed remotely. The Scheduling Admin is not expected to work onsite at SOWA offices each day.

RESPONSIBILITIES:

Administrative Responsibilities

·        Coordinate PQA External Assessment visits, including acquiring & verifying site information, managing the online scheduling process, troubleshooting scheduling issues, confirming assessment dates and times with youth service providers, and answering last-minute questions;

·        Assist Data and Evaluations Manager in ensuring that all External Assessors enter scores in Scores Reporter and send hard copies of PQA tools within 48 hours of an assessment;

·        Support the training of reliable External Assessors across the state as needed;

·        Support the Data & Evaluation Manager with the invoicing & expenses related to programmatic areas as needed;

·        Assure that Independent Contractors, employees, volunteers and interns are treated with respect and dignity regardless of race, ethnic background, gender or socioeconomic background. Incorporate volunteers, where applicable, into program operations.


Data Entry

·        Coordinate processes for information collection and tracking;

·        Support other data collection and data entry as needed;

·        Track use of post-assessment surveys and ensure completion by assessors;

·        Track External Assessment schedules & timelines for different cohorts across the state;

·        Track progress & status of External Assessment completion by site, cohort, funder, network, and community;

·        Track all completed external and self-assessments, cancellations, and rescheduling in the seasonal master spreadsheet as well as all PQA hard copies, Scores Reporter entries, and received invoices;

·        Track and record in database(s) participant, reliability, coaching & external assessment data;

Other Responsibilities

·        Commitment to addressing racism, sexism, heterosexism and other discriminatory practices;

·        Support ongoing organizational cultural competency;

·        Participate in related project meetings and staff meetings;

·        Serve as an ambassador to the organizations at all times both formally and informally;


Qualifications:

·        Experience in data entry, scheduling, and understanding systems preferred;

·        Excellent oral and written communication skills;

·        High proficiency in Excel and strong database skills preferred;

·        Experience in Salesforce is preferred;

·        Strong computer literacy skills, particularly in Microsoft Word, Microsoft Excel, Salesforce, PowerPoint;

·        Strong customer service skills;

·        Demonstrated writing and editing skills with strong organizational ability and attention to detail;

·        Commitment to working with diverse individuals, groups, communities and organizations;

·        Ability to work independently and as part of a collaborative team;

·        Ability to prioritize multiple tasks;

·        Competencies: adaptability, attention to detail, open communication, initiative, analytical thinking, collaboration/partnership, achieving measurable results, customer service, racial equity and social justice advocacy.


Hours: up to 20 hours

Fair Labor Standards Act (FLSA) Classification: Non-Exempt, hourly

Salary: $17-$19 per hour, DOE
