Position Title: Operations Manager

Reports to: CEO


Organizational Overview

Leadership Roundtable is a responsive and innovative partner to Catholic leaders in the areas of management and leadership development. We provide custom support to implement comprehensive managerial best practices, while also supporting the development of current and future leaders. We do this so that the Church and Catholic entities can more effectively serve and amplify their mission.


Leadership Roundtable Mission

Leadership Roundtable promotes best practices and accountability in the management, finances, communications, and human resources development of the Catholic Church in the U.S., including greater incorporation of the expertise of the laity.


Position Overview

The Operations Manager coordinates operational and administrative systems and processes to support Leadership Roundtable’s strategic decision-making and planning. He or she also provides senior executive support to the CEO.

Key Responsibilities


Administrative and Infrastructure (approx. 60% of role)

  • Serve as first point of contact at Leadership Roundtable, via managing main phone and email accounts
  • Manage office and relationships with vendors
  • Schedule and provide support for board and committee meetings
  • Maintain, administer, and train others on effective use of platforms and systems, including but not limited to Raiser’s Edge, Quickbooks, Egnyte, and Google platform
  • Manage IT equipment, updates, and repair
  • Contribute to the improvement, development, and integration of organizational systems and processes as appropriate
  • Plan and execute logistics for external convenings
  • Oversee production and contribute to external and internal reporting
  • Support ongoing Standards for Excellence implementation
  • Manage all mailings (appeals, sending materials to programs and events, etc.)
  • Across all areas of work, contribute to annual operations calendars and manuals
  • Manage attendance and program evaluation records, and coordinate use of data analysis for learning and improvement
  • Support communications and development staff with administrative projects
  • Contribute operations information and recommendations to strategic plans and reviews; prepare and complete action plans; implement production, productivity, quality, and customer-service standards.

Finance, HR, and Compliance (20%)

  • Coordinate day-to-day finance operations, liaising with our outsourced accountant and bookkeeper; this includes processing deposits, payables, reimbursements, and invoicing
  • Maintain impeccable files following Leadership Roundtable’s procedures
  • Support annual audit through data gathering
  • Oversee legal compliance and maintain filings to ensure compliance with federal and state requirements
  • Support HR activities and file maintenance:
  • Administer employee benefits plans and resolve employee benefit inquiries
  • Prepare onboarding paperwork for new employees

Senior Executive Support (20%)

  • Provide administrative support to CEO and other staff as appropriate, including scheduling, travel arrangements, etc.
  • Manage correspondence and calendar of CEO as needed
  • Provide meeting prep and briefings to CEO
  • Write draft reports and correspondence for CEO


Successful Candidates Must Have/Be:

  • Bachelor’s degree, preferably in related field such as business or human resources
  • A minimum of 7 years experience in an operations/administrative role with increasing responsibility
  • Proven ability to coordinate, implement, and evaluate complex internal processes and systems
  • Proven ability to manage multiple projects at once, meet deadlines, and be flexible
  • Experience managing executive’s email, communications, and calendar
  • Excellent strategic planning skills
  • Self-starter, highly motivated, and self-disciplined
  • Demonstrated excellence in working collaboratively to achieve defined and measurable goals
  • Superior written and verbal communication skills, including strong English grammar skills, editing, and proofreading
  • Experience planning and executing events
  • Experience utilizing, managing, and maintaining Raiser’s Edge database
  • Commitment to Leadership Roundtable’s mission and values
  • Strong familiarity with and knowledge of teachings, hierarchy, and functional structure of the Catholic Church
  • Proficient with Google suite of products: Gmail, Google Calendar, Google Drive

  • Competitive non-profit salary based on experience and qualifications
  • SEP-IRA: 10% of annual salary paid quarterly
