Accounting Coordinator/Business Manager

Hogar Immigrant Services – Legal

Alexandria VA

Full-Time On-site (typical hours are 9-5)

Salary Range $53 - $54k

 

Primary Responsibilities

•    Serves as a liaison between Hogar Immigrant Services – Legal and Catholic Charities shared services including and not limited to: Accounting, Information Services, Risk Management, HR, and Payroll.

•    Manages accounts receivable and account payable.

•    Manages vendor schedules and prepares vouchers for vendor payments.

•   Prepares and reviews accounting documents such as invoices, purchase orders, and bills for accuracy, completeness, and adherence to policies and procedures, agreements and contractual requirements.

•   Prepares and processes a variety of accounting documents including invoices, payments, statements, billings, reimbursements, purchase orders, and credit card statements.

•   Collects, distributes, and allocates funds to correct accounts. Maintains appropriation and revenue records; prepares financial vouchers and escrow account transfers; as well as client fee waivers, payment plans, revenues, and petty cash funds.

•   Deposits all funds and tracks revenue accordingly across several accounts.

•   Manages escrow account (IOLTA) accordingly and ensures the timely transfer of funds from IOLTA to program service revenue account.

•   Invoices legal clients in INSZoom monthly and maintains accurate INSZoom client financial records, communicating with clients regarding financial bills when necessary. 

•   Prepares and makes bank deposits.

•   Answers main phone line and provides initial program information to interested clients.

•  Manages purchase and distribution of office supplies.

•   Coordinates with building management to address any office needs/repairs.

•  Physical office presence to greet any visitors and assist staff with any administrative needs.


Documentation and Reporting

•   Provides financial reports to the Hogar Immigrant Services – Legal’s Program Director for supervision and submission of statistics and required data.

•   Prepares credit card reports.

•  Prepares information for quarterly reports for Catholic Charities.

•   Ensures accurate and up-to-date INSZoom reporting.

•   Adheres to all weekly and monthly accounting deadlines.

Knowledge, Skills, and Abilities

•  Minimum of a Bachelor’s degree in related field is required.

•  Bilingual (English/Spanish) required.

•  Knowledge of and experience with immigration law preferred.

•  Excellent computer skills and knowledge of all Microsoft Office products.

•  Excellent organizational, time management, and administrative skills.

•  Experience with bookkeeping, accounts receivable, and accounts payable.

•  Proficient experience in Excel spreadsheets and general account reconciliations using pivot tables.

•  Knowledge of database management.

•   Strong interpersonal skills – able to communicate effectively in writing and verbally both internally and to clients and external agencies in a multicultural environment.

•  Must be a team player and able to work independently.

•  Strong problem-solving skills and ability to multi-task in a fast-paced environment.

•   Able to coordinate the procurement and delivery of supplies with minimal day-to-day supervision.

•   Possesses a range of IT skills and is extremely comfortable using technology as a form of communication.

•   Willingness to uphold Catholic moral and social teachings in the workplace, and commitment to the mission and goals of Hogar Immigrant Services – Legal.

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
