Program Coordinator: Storefront Ensemble

Storefront Ensemble Program Overview:

The Storefront Ensemble offers students in grades 7 and 8 from multiple Hunts Point middle schools the opportunity to write about themselves, their neighborhood, or the world, finding their own voice and the strength and importance of their personal stories. The eight-month arts program includes an intensive writing curriculum and uses performance to encourage students to express themselves through art. At the end of the program, students’ writing is adapted into a script and performed for their parents and the community.

Position Overview:

The Storefront Ensemble Program Coordinator will play a key role in maintaining a supportive and stable learning environment for students and strong communication between program and families.

Compensation: $19/hr.

Commitment:

Part-time, Approx. 20 hours/week.

  • Mondays 11-7, Wednesdays 11-7, Fridays 2-6.
  • Monthly staff meetings, professional development, field trips, and other events as required.

Responsibilities:

Programmatic (60%)

  • Serve as point person for family and scholar communication, maintaining relationships with families about student well-being and concerns, program schedule, and upcoming events.
  • Coordinate day-to-day student program logistics.
  • Set up space, manage snack distribution, address space concerns, manage dismissal and student pick-up.
  • Address any student concerns during programming and field trips, including behavioral, emotional, or physical needs.
  • Responsible for student attendance and working with scholars to understand value of commitment, attendance, and communication.
  • Chaperone students from schools to program location when deemed necessary by Program Manager.
  • Complete, collate, and share with team daily session notes, based upon a template, after each class.
  • Support family and scholar orientation, family days, and special events.
  • Communicate to families and students about additional opportunities: programs, events, plays, and high school programs.
  • Refer and coordinate families with other HPAC programs, including Family Project and Tutoring.
  • In the event of virtual programming, Coordinator will support students with logging on, document and/or find assistance for wifi or hardware, assist with break out room needs, and lead tech support efforts on Zoom, Google Classroom, etc., as needed.
Administrative (40%)
  • Assist with recruitment for Storefront Ensemble to fulfill enrollment goals.
  • Presenting program, reaching out to families, communicating with schools, students, and families.
  • Manage program data, including accountability for all finalized enrollment forms for new and returning students, and ensuring student data, daily attendance, individual program assessments, and other data is appropriately entered and filed in both program records and Salesforce.
  • Support teaching artist clearance data submission in partnership with Graham Windham.
  • Provide administrative support on calendar: create and maintain master program calendar in coordination with schools and communicate to families regarding all changes.
  • Ensure all Storefront digital and hard copy files are appropriately organized and stored.
  • Attend all staff meetings and requested professional development trainings.
  • Provide all other administrative support for Manager as requested.

Qualifications

  • Related program administrative experience, preferably in a non-profit environment
  • Bilingual in English and Spanish strongly preferred
  • Must be able to collaborate and communicate professionally with local families and staff at all times.
  • Creativity, problem-solving skills, and good judgment
  • Ability to connect authentically with families and maintain positive support for all children.
  • Excellent oral and written communication skills
  • Excellent organizational, prioritization and time-management skills
  • Well-versed in Google applications (Docs, Slides, Drive, Classroom, etc.)
  • Database management experience with Salesforce is a plus
  • Ability to kneel, bend, squat, lift, push, and pull up to 70 lbs
  • Ability to work weekends
