Title: Operations Manager

Reports To: Director of Finance and Administration

Staff reporting to this position: None

Class: Exempt/Full-time

Summary:

The Washington Center for Equitable Growth is a nonprofit research and grantmaking organization dedicated to advancing evidence-backed ideas and policies that promote strong, stable, and broad-based economic growth. Equitable Growth engages with academics and policymakers to better understand economic inequality in the United States and its impact on economic growth. Important elements of Equitable Growth's mission include in-house, academic-quality research, and grantmaking to academic economists and other social scientists to support new research on inequality, mobility, growth, and related issues. Building a stronger bridge between academics and the policy community and elevating researchers and their work with the news media are both key to our work, with the goal of making new research relevant, accessible, and informative to the policymaking process.

Equitable Growth is looking for a detail-oriented and driven individual for the role of Operations Manager. The role is key player in overseeing the smooth and effective operations of a mid-sized organization, responsible for the day-to-day operations of an organization and will help research and implement best practices on a variety of operations policies and procedures. This person will strengthen and streamline the organization's internal functioning as it continues to grow and will identify opportunities, challenges, and solutions across departments.

Responsibilities: Manage office functions to assure efficient, timely, and high-quality service in support of Equitable Growth's mission and 50-person team. Take primary responsibility for the overall maintenance and improvement of the office and its systems. Support a safe, clean, fully functioning, and cost-effective operation.

  • Systems and facilities management:
  • Lead and manage all areas relating to office infrastructure, including creation and adherence to operations policies and procedures
  • Manage contracted facilities work
  • Space layout: movement and placement of all office furniture
  • Upkeep of office equipment and employee breakroom
  • Update and manage emergency plan
  • Maintain inventory and inventory tracking of furniture and equipment
  • Point of contact for tenants
  • Own space planning and future build-out and/or office relocations
  • Manage new-hire setup and associated ordering including IT hardware and software setup, as identified by Human Resources; likewise, manage the workspace/tech off-boarding process
  • IT system and contract management:
  • Ensure the effectiveness of all phone, hardware and technological systems and resolve problems when they occur
  • Serve as point of contact for IT vendors, leading coordination and monitoring completion of day-to-day tasks through an online ticketing system
  • Manage training and education of employee uptake and use of technology platforms
  • Serve as "super user" for most technology platforms, helping staff stay up to date and facilitate their best and secure use of the medium
  • Serve as lead expert for technology in events space and conference rooms
  • Work with Salesforce Database Administrator to support day-to-day Salesforce functionality and continue system build-outs and process improvements
  • Manage access to inhouse platforms: Salesforce, Slack, dropbox
  • Ensure that all needed logins, technology interfaces, and trainings are completed for a smooth employee introduction and integration into Equitable Growth
  • Front desk and day-to-day staff facilities needs management:
  • Facilitate a warm, pleasant, professional office experience
  • Assigned work area at front desk
  • Serve as the first point of contact for all visitors and employees' operations requests
  • Maintain and stock supply rooms, kitchens, and office supplies
  • Sort and distribute the mail and packages
  • Regularly communicate with all staff regarding operations and space
  • Work with building engineers for repairs and building-related requests such as heating/cooling issues, maintenance, plumbing, lights, spills, etc.
  • Management of various administrative areas such as:
  • Contracts policy and process
  • Travel policies and approvals within booking system
  • Media and technology subscriptions
  • Salesforce and financial payments for the department
  • Work closely with Operations team members to ensure each is an appropriate backup for day-to-day responsibilities
  • Assist in logistical tasks surrounding events and conferences as staff capacity requires
  • Participate in organization meetings, conferences, and seminars
  • Participate in development of department goals, objectives, key results, and other organization management tools
  • Additional duties as assigned by supervisor

 Requirements:

  • Bachelor's degree and 3 years of experience, or 6 years of experience in similar roles
  • Experience with coordinating IT systems (hardware and software), vendor relations, O365 platform, Macs and PCs, Salesforce
  • Excellent organizational and time-management skills; creativity in streamlining processes
  • Strong work ethic with demonstrated ability to consistently meet deadlines
  • Strong interpersonal skills and a demonstrated ability to work with teams across the organization to achieve results, as well as ability to work independently
  • Ability to work effectively on multiple projects with multiple deadlines simultaneously
  • Ability to be present in the office the majority of the time (not working remotely)
  • Must be able to lift 30 pounds, bend at the knees; sitting/standing at workspace for extended periods of time
