As a member of the Development team, the Grants & Foundations Manager will powerfully convey the City Year story in grants, proposals, reports, and other written communications to ensure that we maintain $2M+ of funding from foundations. Reporting to the Individual Giving & Foundation Relations Director, they are responsible for maintaining existing partnerships, researching and build new relationships with potential funding sources, and supporting the fundraising team’s communications needs.


This person is an effective storyteller who can bring our educational equity work to life through strong writing that inspires potential partners’ investment of financial resources. They will be a creative writer who is passionate about social justice that leverages their project management skills, maintains, deepens, and renews existing City Year relationships, and conducts independent outreach via targeted prospecting to build a robust pipeline of champions. They will implement tailored donor engagement that builds genuine connection and advances this important work, including prioritizing time and resources to ensure maximum return. This position is ideal for an avid writer with strong research and communications skills who would like to develop their skills and experience in fundraising.

Responsibilities

Grant Writing

  • Write strong grants that get funded 85% of the time.
  • Review all funder materials in detail, proactively request necessary information, and submit drafts for review and approval to site leaders within internal timelines in advance of deadlines.
  • Actively maintain language library supporting consistent, aligned, and impactful fundraising communication.
  • Collaborate with the Impact Analytics and People & Operations teams to gather and synthesizing key data to tell a compelling story to stakeholders.
  • Coordinate delivery, timelines, and writing/research assignments and ensure consistency of format, language, and style.
  • Work with the City Year, Inc. finance department to gather budget information necessary for grant submissions.

Portfolio Management

  • Manage a robust grants portfolio with consistent reporting, communication, engagement, and recognition to maintain $2M+ funding annually.
  • Create and manage grants calendar to ensure they are proactively preparing, writing, and collaborating with necessary stakeholders in advance of deadlines.
  • Submit reports, letters of intent, and proposals in a timely manner.
  • Maintaining and updating records in Salesforce donor database including grant tracking and reporting, activity with foundation funders, funding proposals, and grant awards.
  • Consistently tracking cultivation and stewardship activities and progress to goals in Salesforce.
  • Ensure existing and new donors are added to mailing lists and campaigns
  • Regularly monitor progress, write acknowledgement letters, ensure stewardship and collection of funds in a timely manner.

Prospect Research

  • Conduct ongoing research to identify grants opportunities and foundation whose funding priorities match City Year program, goals, and values.
  • Develop and maintain an ongoing pipeline of potential grants and foundations funders, with a goal of continuing to increase giving on an ongoing basis, by ~$250,000 annually.
  • Support the Individual Giving & Foundation Relations Director in developing & implementing engagement outreach plans for promising opportunities.
  • Examine media sources for potential funders (particularly foundations) and Requests for Proposals.
  • Collaborate with the Development leadership to identify, research, and set strategies for foundations that are prospects for City Year initiatives.

Fundraising Communication Support

  • Supporting corporate and individual fundraising writing needs, creating strong communications that keep our donors feeling connected, informed, and ensure renewals of key partners.
  • Manage round tables for foundation contacts including coordinating school visit logistics, preparing Staff and AmeriCorps members, creating and collecting materials, as well as following up after visits.
  • Writing copy for marketing collateral for Development department including sales decks for annual fundraiser, corporate proposals, and one pager fundraising marketing fliers.
  • Support speech writing for fundraising and signature events.
  • Liaise with LA Marketing and Communications Department, CY Headquarters, and other external partners on all Development communications needs.

Additional Site and Team Support

  • Support with AmeriCorps member development and trainings for donor-facing engagements.
  • Communicate effectively with the Program team to prepare staff and AmeriCorps members for positive and mutually beneficial engagement with foundation partners.
  • Attend and support at multiple service day events throughout the year in partnership with the Civic Engagement team
  • Support the experience and development of the Civic Engagement team, that plans and leads Service days to support our school and students.
  • Partner with CYLA departments and staff, stakeholder engagement, event and service day participation and cross-departmental committees as needed to ensure site-wide goals are met

Qualifications:

  • 3+ years relevant experience in non-profit fundraising, marketing/sales, writing or related fields
  • Excellent written and oral communication skills.
  • Proactive with strong project management skills and attention to detail.
  • Demonstrated ability to develop and manage complex relationships across levels and functional areas.
  • Able to work effectively under pressure, handle competing priorities and respond to short deadlines with a team and independently.
  • Strong research skills – ability to identify and research grant & foundation prospects
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint);
  • Ability to work periodic scheduled evenings and weekends.
  • Passion for and commitment to community service, national service and/or the development of young people as leaders
  • Experience with a donor database preferred, such as Raiser’s Edge or Salesforce.
  • City Year/AmeriCorps experience a plus

Able to identify the information needed to solve a problem, link decisions to potential consequences, and know when to escalate or seek guidance..  Strong attention to detail with a focus on results and process.
  • Relationship Management: Able to cross manage their peers and supervisor against internal project deadlines and initiatives. Balances their own projects against the needs of others.  Able to work independently as well as on a team.  Understands urgent versus important.
  • Desire to learn: City Year has a unique service model and organizational culture. Successful applicants will have strong experience and a proven track record of success in the above areas, but must also be willing and eager to continue to learn as well as be self-aware of their areas for continued professional growth and development.
