JOB DESCRIPTION

Program Associate, Women’s Foreign Policy Group

Full-time | Washington, DC

Applications Accepted through Friday, June 14, 2024

The WFPG is seeking a dedicated and motivated individual to join our team! The Program Associate assists the Executive Director in all aspects of WFPG’s operations, including policy program planning, external engagement and outreach, membership collaboration, communication, and administration. The Program Associate manages WFPG’s Mentorship and Internship programs.

The position requires a self-starter, preferably with a background in international affairs, who is well-organized, possesses excellent oral and written communication skills, and has run large-scale events. Candidates must be detail-oriented, flexible, and comfortable in a small active organization which requires multi-tasking, independence, and teamwork. This is an entry level, in-person position based in Washington, DC, with extensive responsibility and opportunity for growth. The position reports to the Executive Director.

The Program Associate position provides an opportunity to engage directly with U.S. and international foreign policy practitioners, including the Washington diplomatic community, and to expand knowledge of foreign policy issues. The ideal candidate will have a proven ability to manage multiple tasks, work both independently and collaboratively, and communicate clearly and effectively with diverse partners and stakeholders.

The Women’s Foreign Policy Group empowers and advances women’s leadership in international affairs through cutting-edge global policy programs featuring prominent women leaders, robust mentoring programs, and premier networking with high-level foreign policy practitioners. Founded over 29 years ago, WFPG expands the foreign policy dialogue across political divides and generations and supports women leaders at every stage of their careers. Women are proven change agents, yet underrepresented in vital areas: in elected office, civil service, the military, and the private sector. We aim to change that.

Responsibilities:

● Plan and coordinate program content and logistics for in-person and virtual events on global issues, develop content topics and themes, prepare materials for speakers, design event invitations and emails, monitor RSVPs, manage event logistics and catering, track registration, and post-event reporting;

● Manage WFPG membership outreach including inquiries, renewals, and payments via management of Memberclicks database/software;

● Develop and implement monthly mentoring programs, including the organization's annual mentoring match program;

● Oversee the production of WFPG’s monthly newsletter and other external communications, website updates, and social media campaigns;

● Hire, train, and manage the organization’s Programs and Communication interns;

● Assist the Executive Director in scheduling meetings and coordinating with the Board of Directors and other WFPG stakeholders;

● Assist the Executive Director with organizational development through fundraising and sponsorship; help set strategic and financial goals;

● Manage invoicing and payments for events, sponsorship, dues, and donations;

●Assist with administrative and office management as needed;

● Represent the organization at external meetings and actively participate in activities to support team, organizational, and network-wide goals.

Requirements:

● Commitment to the WFPG’s mission of advancing women’s leadership in foreign policy;

● Bachelor’s degree in International Relations or a related field.

Qualifications:

● Strong event organization and management skills, with superb attention to detail and an ability to meet rapid, multiple deadlines in a fast-paced, team-oriented environment;

● Experience managing multiple tasks concurrently and successfully, particularly under deadlines;

● Ability to articulately and professionally communicate in a clear, positive manner with members, speakers, partners, and staff, both verbally and in writing;

● A record of cultivating and maintaining strong working relationships with and among diverse stakeholders;

● Contribute to an organizational culture of continuous learning through rigorous program monitoring, data tracking, membership reporting, research, and reflection to ensure strong outcomes;

● Commitment to fostering diverse, equitable, and inclusive practices in program implementation;

●Previous supervisory experience, particularly of interns or other college-age students;

● Ability to thrive in collaborative settings, to motivate and lead WFPG interns, and to foster diverse, equitable, and inclusive practices in the office;

● Experience working with high-level professionals in international affairs and confidence in communicating with them;

● Interest in supporting a high-performing Executive Director and Board of Directors;

● Experience in fundraising or organizational development;

● Fluency with Microsoft Office suite, cloud-based document management software, and online project management tools, including G-Suite;

● A demonstrated track record of flexibility, creative problem-solving, and remaining calm under pressure.

Preferred Qualifications:

● Experience running meetings and webinars using video conferencing platforms including Zoom and Microsoft Teams;

● Experience using MemberClicks or another CRM, basic HTML, photo editing, and Canva or a similar layout and design program;

● Experience running professional campaigns on various social media platforms;

● Knowledge of the basic functions of QuickBooks or similar accounting software.

Other Requirements: This position is based in Washington, DC. Work is performed in an office setting, but staff may be required to work in other settings conducive to performing the tasks required to complete assignments. Travel to New York and around the DC metro area and occasional extended hours will be required. Selected candidates must be legally allowed to work in the U.S. without any need for visa sponsorship now or in the future.

Compensation: $55,000 - $60,000 commensurate with experience, plus opportunity for a bonus. The benefits package includes paid annual and sick leave, 11 federal holidays, health benefits, a retirement plan, and disability insurance.
