Program Coordinator Job Description

Location: Windsor Terrace Middle School

This position reports to our Program Operations Manager.

Job Responsibilities:

Program Operations

  • Manage Faculty Coverage System: Plan and implement all logistics around the MS faculty coverage system. Create and lead trainings for faculty and develop standard operating procedures.
  • Interim Assessments: Support and execute tasks related to interim and NY State tests.
  • Coordinate Faculty use of classroom technology
  • Maintain inventory for faculty with a standard stock of office items and supplies.
  • Manage a high volume of internal and external communications including the Program Office phone line and email account for the middle school.
  • Collaborate regularly to support the Operations team as needed.
  • Provide support to resolve operational challenges so that faculty may focus on teaching and learning.
  • Manage daily food service procedures: Execute daily/weekly reporting through SchoolFoods, Handle daily meal deliveries to classrooms. Communicate with Facilities team regarding breakdown of daily meal service. Create standard operating procedures for MetroCard policy and process, and train relevant staff.  

Events and Field Trips

  • Events (in-person and remote): Serve as the project lead and manage logistics and communications for all school events. Create project plans and include relevant stakeholders and notable deadlines.
  • Field Trips (in-person and remote): Lead the planning and execution of all field trips, creating project plans for each trip. Ensure timely distribution and collection of all field trip forms, creating spreadsheets to manage all relevant information. Serve as the main point of contact for all operational components of each trip.
  • Manage Student Transportation: Handle all requests and needs for busing and MetroCards, communicating with OPT when necessary. Create standard operating procedures for MetroCard policy and process, and train relevant staff.  
  • Biling: Serve as lead in all matters related to school billing, communicating regularly with families.

Administrative Support

  • As part of a young organization, contribute toward the development of standard operating procedures in all areas of influence, and continue to find new ways to improve quality and efficiency
  • Provide support to resolve operational challenges so that faculty may focus on teaching and learning.
  • Assist with other duties as needed, and provide general support of the BPCS mission in whatever way possible

About You:

  • Bachelor’s degree strongly preferred
  • Very strong organizational skills
  • Very strong attention to detail
  • Desire to learn quickly
  • 1-2 years of working experience in a relevant field; experience in a school environment ideal
  • Working knowledge of Google Suite
  • Database experience required; familiarity with ATS, other SIS a plus
  • Takes initiative
  • Collaborative spirit and skill
  • Good communication skills
  • Strong work ethic
  • Fluency in Spanish or bilingual a plus
  • Ability to adapt in a dynamic environment
