Job Summary: This position is responsible for working with the Chief Financial Officer in assuring the day to day financial affairs of the organization are managed.


Responsibilities:

• Maintain strict confidentiality of all personnel and client identification and financial information as required by non-profit standards.

• Responsible for the organization’s payroll processing and documentation according to the policies.

• Maintain and update the employee database, including personal information, salary, benefits (vacation, sick, co pay for health and 401(k) etc.)

• Provide all new employees with appropriate benefit enrollment forms and employee benefit information. Ensure all enrollees are eligible for the benefits.

• Oversee the bookkeeping system, ensuring AR/AP entries are accurate and reconciled on a monthly basis.

• Enter receivables into the system.

• Assure timely deposits of all financial resources.

• Prepare for annual audits in coordination with CFO.

• Back up all agency financial data daily.

• Assist CFO with developing budgets for federal, state, and local funding sources.

• Prepare all invoices (governmental, and private) when due.


Phase IV Independent Housing

• Verify and monitor all transitional/permanent housing tenant income documentation to ensure eligibility for housing according to the guidelines and tax credit program.

• Post income certifications to PHFA’s website when a tenant has a move-in date and annually for the recertification’s.

• Post the rental schedule to PHFA’s website every January 1.

• Write letters of non-compliance – non-payment of rent; lease violations (CEO will sign)


Garfield Commons Independent Housing

• Verify and monitor all transitional/permanent housing tenant income documentation to ensure eligibility for housing according to the guidelines.

• Ensure eligibility annually through the recertification process.

Training

  • Complete PCADV’S required 45-hour counselor/advocate training.
  • Attend a minimum of 24 hours of trainings to enhance accounting skills and knowledge.


Team Work

• Assist with answering hotline and/or office line.

• Participate in all agency-wide events: October Awareness; Volunteer Recognition, Various celebrations, Fairs, etc.

• Attend staff meetings, and other required meetings.

• Assist with accomplishing organization wide annual goals and objectives.

• Assist with keeping facility clean and neat.

• Demonstrated ability to establish effective working relationships with staff, volunteers, and internal and external colleagues.

• Any and all work related duties assigned by CFO/ CEO.


Skills and Qualifications

• Computer proficiency in Microsoft Office Products and QuickBooks.

• Able to work under pressure and adhere to deadlines.

• Able to understand and analyze the organizations’ finances.

• Strong commitment to the mission and goals of DVCCC, professional work goals and personal development.

• Thorough knowledge and understanding of victims of abuse and trauma.

• Able to work with survivors of abuse and their children.

• Excellent organizational skills and Financial Management abilities.

• Able to work independently on projects and assignments.


Physical Requirements:

Much of the work performed is sedentary in nature yet may require the employee to exert themselves with minimal force and/or be able lift or move light objects associated with the job responsibilities.


Visual Acuity:

The incumbent is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures, transcribing, viewing a computer terminal, reading; visual inspection and/or operation of machines.


Other Requirements

• Must be willing to work flexible hours to meet program needs and grantor accountability requirements.

• Adhere to all of the organizations’ policies and procedures (attendance, work hours, paperwork, etc.)

• Must have transportation to travel to the organizations’ other sites and to meetings and trainings.

• Child abuse, criminal and FBI clearances as required by the state and DVCCC.


Environment and Conditions

The incumbent’s typical place of work is an office environment and thus will not be substantially exposed to adverse environmental conditions.

Minimum Training and Experience

• Substantial and relevant accounting training or related field and five years accounting experience.

• High School Diploma; Bachelor’s Degree in Accounting or related field desired

• Experience working with non-profit organizations.

• A knowledge base, education or training specific to domestic violence is preferred.
