INFORMATION SERVICES MEMBERSHIP SPECIALIST

DEPARTMENT:          Information Services

FLSA STATUS:          Exempt

GRADE:                 87

REPORTS TO:          Senior Director of Information Services

 

POSITION SUMMARY:

The Information Services Membership Specialist provides administrative and project support for the Information Services team and Development division including customer service, data entry and information analysis. This position is primarily focused on membership activities and works collaboratively with the Membership team to promote membership acquisition and renewals, process gifts, generate acknowledgement letters and support related events. This position requires extensive knowledge of PHS membership benefits, events, and related programs.

 

ESSENTIAL FUNCTIONS:

Provide daily constituent data entry in Raiser's Edge including gifts, membership transactions, event registrations, and volunteer information.  

Produce queries, exports and reports as needed to verify data entry and assist in reconciliation. Perform data imports using Import-O-Matic software.

Maintain the highest quality and integrity of data in all of PHS's established databases. Recognize and correct inaccuracies and inconsistencies in data. Monitor and edit database records and information as necessary.

Provide administrative support to the Information Services team including word processing, photocopying, filing, file maintenance, phone coverage, etc. Work on PHS activities, special projects, and other related responsibilities as assigned. 

Provide customer service and answer phones.

Contribute to positive constituent relations through professional, friendly and responsive telephone, email, and face-to-face interactions with all PHS constituents.

Work collaboratively with PHS staff to ensure their understanding of data contained in PHS databases and assist users with questions about database policies and procedures. 

 

SUPPORTIVE FUNCTION AND RESPONSIBILITY:

Promote sustainability to individuals, other agencies and communities.

Participate in PHS events throughout the year including the Philadelphia Flower Show.

Help to enlist new and retain existing donors and members by sharing the benefits of PHS membership with partners, advisors, program participants and other constituents.

Remain current with organization information and changes.

Comply with the organization's policies and procedures.

Promote and apply teamwork skills.

Notify appropriate individuals promptly of problems or unusual matters of significance.

Execute emergency procedures in accordance with organizational standards. Comply with safety regulations and procedures.

Attend appropriate meetings and training sessions.

Use sustainable practices whenever possible.

 

SUPERVISORY RESPONSIBILITY:

This position has no direct reports.

 

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

High school degree required. Bachelor's degree preferred.

Qualified candidates must possess excellent computer, verbal and organizational skills, and be detail-oriented. 

Experience in a non-profit environment is preferred.

Knowledge of Raiser's Edge (or other fundraising database software) and Microsoft Office is preferred.

Must be committed to the mission of the Pennsylvania Horticultural Society.

 

PHYSICAL DEMANDS:

This is largely a sedentary role; however, some physical demands are required. This includes the ability to lift files, open filing cabinets and bend or stand as necessary.
