Description

The Legal Aid Society has an opening for a Grants and Contracts Coordinator to assist in the Criminal Defense Practice's operations.


ESSENTIAL DUTIES/RESPONSIBILITIES

* Coordinate preparation of and prepare narrative reports and proposals to government funders and large contracts

* Coordinate the collection of expenditure reports from partner agencies on select government and private grants on a periodic basis for submission to the Finance Department staff to support vouchering efforts

* Help prepare grant proposals and necessary supporting documentation, including working with Finance to develop proposed budgets, for submission to government agencies funding the work of the Criminal Defense Practice

* Maintain calendar of funding deadlines, including proposals and reports

* Act in coordination with Criminal Defense Practice Attorney-in-Charge, program leaders, and other managers as liaison between the Practice and current/potential funders 

* Provides trainings as needed on use of scanners and equipment/software

* Responsible for detailed planning & status of projects as they arise


SECONDARY DUTIES/RESPONSIBILITIES

* Provides day-to-day support for all Criminal Defense Practice operations

* Provides operational support for the Criminal Defense Practice hiring process 

* Collect, prepare, and report data for government agencies and bill large contracts

* Coordinate recruitment efforts through job postings and offer letters

* Handle highly confidential and valuable information and materials

* Perform all other duties as assigned by the Practice Administrator and Attorney-in-Charge

* Manage vendor accounts, and review and process invoices 

* Other duties as assigned

Requirements

* Bachelor's degree

* Knowledge of contracts and fundraising

* Expert knowledge in spreadsheets and databases

* Excellent writing, editing, and oral communications skills

* Excellent interpersonal skills

* Excellent ability to meet deadlines and work under pressure

* Excellent attention to detail and organizational skills

* Ability to maintain strict confidentiality

* Some knowledge of the Criminal legal system 

* Highly proficient with MS Office, especially Excel

* Familiarity with, or ability to quickly learn, Law Manager or similar operating systems

* Must be able to work independently and initiate, design, and implement new procedures

* Ability to respond quickly and calmly in emergencies and problem situations is essential

* NYS Notary Public or willing to become one
