Position Overview:

Equal Rights Advocates (ERA), a national civil rights organization dedicated to protecting and expanding economic and educational access and opportunities for women and girls, is seeking a creative and detail-oriented Development Data & Operations Assistant. The Data & Operations Assistant plays an extremely important role by 1) coordinating department operations, systems, and events, 2) managing the CRM and data integrity, 3) and manipulating data and conducting research to produce meaningful reports for the leadership team. This role will also coordinate select department projects, most notably working cross departmentally and with external stakeholders to help produce the organization’s gala annual spring luncheon.


Essential Functions:

Department Operations and Systems

·        Use digital project management tools to help manage the progress and completion of various projects and events

·        Maintains electronic and paper filing systems, project roadmaps, and department calendar

·        Documents procedures and processes, continuously updates them and communicates changes

·        Assists Director in managing the cost tracking and reporting for the department; including managing some vendors

·        Reconcile donations with Finance Department monthly, including tracking pledges and foundation agreements

·        Coordinate production and mailing of donor correspondence

·        Collaborates with team on the strategy and creation of events, appeals, donor collateral, and campaigns

·        Assist in providing liaison support for Development Committee including coordination of meetings and providing requested materials as required

·        With colleagues on the support staff team, serves as backup support for all organizational departments

·        Other duties as assigned


Data Management

·        Maintain meticulous data integrity and train to become the in-house expert on Neon CRM database functionality, able to produce reports, lists, and dashboards that inform financial health, donor management best practices, future campaign planning, and cross-departmental reconciliation of income with the Finance team

·        Maintain donor records, including updating donor and prospect records, and ensuring data transfer from

·        Gathers data on events and appeals, and provides reports and analysis to leadership

·        Manage processing and overseeing sustaining donors and maintain communications with this donor segment

·        Process donations and prepare acknowledgement letters and appropriate donor correspondence in a timely manner


Events Operations

·        Serve on internal Event committee to help with planning and execution of annual Gala Luncheon

·        Assists with event logistics including: budgets, production timelines, vendor sourcing, catering, programs (speakers, presentations, run-of-show), technical and operational aspects, guest lists, registration sign-in, set up, and clean up


·        Exceptional administrative and organizational skills and an ability to prioritize and multi-task

·        Minimum of 1-2 years of experience working in a professional office setting

·        Progressively responsible experience providing office support in a fast-paced environment

·        Excellent user of office technology and information systems

·        Take pleasure in working with data and ensuring data is clean, consistent, and useable

·        Experience with CRMs and/or customer/donor data management required; familiarity with nonprofit donor tracking systems, best practices, and reporting preferred

·        Knowledge of nonprofit revenue generation/fundraising strategies and tactics preferred

·        Previous project management experience preferred

·        Superior organizational, administrative, and time management skills

·        Strong interpersonal skills and the ability to work well independently and collaboratively

·        Attention to detail and demonstrated ability to follow detailed directions with accuracy

·        Excellent written and verbal communication skills, including grammar, spelling and editing

·        A proactive approach to accomplishing work and ability to work independently

·        Must be comfortable with multi-tasking and prioritization in a fast-paced environment with close attention to detail, accuracy, and timeliness.

·        High energy, personal initiative, results oriented and a sense of humor


ERA offers salaries that are competitive in the San Francisco Bay Area public interest/non-profit legal community and are based on degrees and years of experience. Salary range is $48,000 - $55,000 depending on experience. ERA offers a benefits package including medical and dental coverage, a generous vacation and sick leave policy, and paid holidays.
