Position Overview 

Phīla Engaged Giving is seeking a versatile, self-starter for the role of Executive  Assistant (EA). You will support a team of executives across time-zones to  maximize their impact through managing schedules, facilitating communication,  coordinating projects, and proactively getting things done through fanatical follow up and meticulous organization.

Reporting to the CEO, this role will support three executive-level advisors with a  wide range of administrative and logistical support across Phīla’s portfolio of  clients and projects. The ideal candidate will have a superior attention to detail,  discretion, technical acumen, and excellent organizational skills. A high level of  integrity and discretion in handling confidential information and professionalism in  dealing with leaders and the ability to earn trust are extremely important as the  Executive Assistant will act as a seamless extension of the executive team. The  candidate will be comfortable in a tele-work environment that is close knit,  growth-oriented, and goal-focused.  

The most successful candidate will have strong verbal and written communication  skills and possess the ability to complete complex tasks and projects with  accuracy and composure. He/She/They is/are able to appreciate our company’s  culture of high-touch service, continuous learning, joy, and humor. This position is  well suited for a dynamic self-starter who possesses a desire to learn and  contribute to the field of philanthropy and social change. 


  • Manage schedules, including meetings with clients, contractors, and other  external stakeholders as well as events, professional travel and conferences,  and outside professional commitments 
  • Manage monthly online newsletter (300+ constituent audience) 
  • Maintain marketing materials and manage active social media  accounts(Instagram, Twitter, Facebook, etc.) 
  • Complete a broad variety of administrative tasks including managing an  extremely active calendar of appointments; composing and preparing  correspondence
  • Write compelling material for newsletters, presentations, meetings, events 
  • Assist with relationship building and management, possibly including  building out of CRM 
  • Maintain sensitive firm and client materials for archival use 
  • Create an organizational system for managing research, materials and  documents
  • Arrange travel including booking transportation, arranging lodging and  managing any additional logistics of trips 
  • Provide general office support including, but not limited to run errands,  respond to telephone calls, and emails on an ongoing basis 


  • Impeccable integrity, judgment, and discretion along with a professional  demeanor and interpersonal style that elicits trust 
  • Excellent written and oral communication skills, with strong attention to  detail 
  • Accurately proof content and visual layouts of paper and electronic  materials/publications  
  • Strong organizational and time management skills 
  • Demonstrated diplomacy, judgment, initiative and problem-solving skills
  • Comfort working independently and collaborating 
  • Bachelor's degree from an accredited college/university or equivalent work  experience 
  • Technical experience with the following platforms: G Suite applications (Google Calendar, Drive, Docs, etc.), MailChimp, Instagram, Excel  
  • Strong work tenure: at least five years of experience supporting an executive 
  • Open to learning, developing, feedback and continuous improvement 
  • Deep commitment to racial equity and social justice 

Preferred Skills 

  • General knowledge of the philanthropic sector with a particular focus on  social justice and equity 
  • Research, database and CRM skills
  • Giving report pulling/creation within Excel 
  • Experience with basic bookkeeping or handling financial transactions 

This is a part-time, remote position requiring approximately 20 hours per week.  Salary is $22-$26/hour DOE. No benefits apply.
