Uganda Field Coordinator

BASED IN: Mbale, Uganda

START DATE: ASAP

DURATION: minimum 6 months

MAIN OBJECTIVE

The Field Coordinator is responsible for coordinating, consolidating, and ensuring smooth implementation of program and operations’ activities and adherence to logistic, human resource and administration procedures. The Field Coordinator represents Seeds NGO to relevant stakeholders. Typically, the field coordinator reports to the organisation’s chairperson.

RESPONSIBILITIES

The Field Coordinator must aim to fulfil Seeds NGO’s mission to improve the living conditions and prospects of families living below the poverty line by enabling them access to financial resources and capacity building with the ultimate goal of reaching full sustainability for the supported projects.

To do this, the Field Coordinator will undertake the following activities:

PROJECTS IMPLEMENTATION

·       Conduct field visits to work with the partner(s) on the implementation of the project activities and the achievement of the project outcomes.

·       Attend training delivered by the partner staff members to evaluate their performance and provide feedback, participate in selecting training consultants, if needed and requested.

·       Working closely with Partner staff who implement the project providing technical assistance and filling gaps as needed. Work with them to find solutions and methodologies to overcome project challenges.

·       Facilitate reflection meetings with the partner(s) as well as with beneficiaries on the progress being made and how to improve efficacy.

·       Maintain administrative and filing systems for the project, including minutes, mailing, copying notably of evidence needed.

·       Assist in both qualitative and quantitative data collection used for conducting the needs assessment.

·       Disburse the necessary and/or planned budgets for the implementation of the project(s);

·       Advise the chairperson about partner/field issues affecting project implementation, or key local issues affecting future project developments.

·       Support the capacity building of local partners whenever possible.


MONITORING AND EVALUATION

·       Ensure that all the required data is collected in the field, captured in the relevant format and shared with all the necessary parties.

·       Conduct periodic field visits to collect and measure the quality of the project implementation and report to the Project Manager.

·       Interviewing the project final beneficiaries and target groups on regular basis to measure the project socio-economic impact and well-functioning.

·       Document the project results, achievements, success stories and lessons learned from the project implementation process.

COMMUNICATION

·       Coordinate and monitor the communication volunteer(s) based at HQ;

·       Support in the development of all communication and visibility materials which includes but is not limited to, the external and internal newsletters, website articles, information and progress on social media, as well as fundraising events or campaigns.

REPRESENTATION

·       Act as focal point for inquiries on the projects.

·       Represent the organization at the regional level including general meetings with communities, partner organizations, local authorities, as well as sector program meetings when relevant. The Field Coordinator manages the visit of donor’s representatives / HQ visitors / other stakeholders whenever requested.

FUNDRAISING AND STRATEGY DEVELOPMENT

·       Prepare the related concept notes and proposals for potential new projects in agreement with the agreed annual budgets and objectives.

·       Participate in mobilizing funds for the project implementation by coordinating the HQ fundraising volunteer(s) and/or by preparing the related documents for project funding.

·       Mobilize and suggest local actors for inclusion in new projects and maintain external relationships that will be beneficial.

·       Conduct studies and informal audit related to all sections of those potential new partnerships.

·       Participate in HQ strategy planning and write up annual field reports.


ADMINISTRATION / HUMAN RESOURCES

·       Manage field budgets and continuously improve field financial tools.

·       In coordination with HQ coordinator, conduct volunteering applicant interviews.

·       Prepare for Volunteer arrival in country.

·       Coordinate and be responsible for the work of all of Seeds’ field volunteers while in country.

·       Coordinate and be responsible the work of all Seeds’ HQ volunteers.

·       Take on volunteers’ tasks when necessary.

·       Other activities as required
