Under the general direction of the Creative Executive Officer, the Office Coordinator will undertake a variety of day-to-day office and clerical tasks. You will be an integral part in ensuring that the summer S.T.E.A.M operations run smoothly and are successful in supporting other business activities. The ideal candidate will be an organized and competent professional with an outgoing personality, phenomenal communication skills, be comfortable with speaking to large groups of students, and able to carry out administrative duties with accuracy and speed.


Responsibilities

Manages and supports the summer program's schedule, meetings, and calendars

Assists Creative Executive Officer on projects as required

Assists with scheduling and managing details of the summer's activities and other meetings

Welcome students, visitors and manages reception

Responsible for managing office services and ensuring office operations and procedures are organized. Creates and organizes office operations and procedures including; mailing, shipping, supplies, and errands

Provides program and event assistance. Coordinates activities for busy conference room, including catering and providing general support to visitors

Assists with IT support including; creating PowerPoint slides, managing Listservs, coordinating Zoom meetings, Website maintenance and Dropbox management

Assists with light budgeting & resource management

Manages relationships with vendors, service providers and landlord

Participates actively in the planning and execution of events and programs

Other duties as assigned.


Requirements

Outgoing and fun personality

IT skills; Working knowledge of MS Office, Survey Monkey, Mailchimp, WordPress, Zoom, Google Suite, Dropbox

Excellent time management skills and ability to multi-task and prioritize work

Attention to detail and problem solving skills

Excellent written and verbal communication skills

Strong organizational and planning skills
