    Volunteer Coordinator

    Treasured Pets Foundation (TPF) is a registered 501(c)(3) tax-exempt organization incorporated in Florida. We are located in the St. Petersburg - Clearwater, FL area. The organization was formed in 2021 for the sole purpose of disrupting and combatting Economic Euthanasia. We are dedicated to empowering pet and companion animal parents with the knowledge and resources needed to enhance and extend the lives of their beloved canine and feline companions. While we’ve made outstanding progress since 2021, Treasured Pets still has scores of work to do. The problem of Economic Euthanasia is enormous, and the solution complex — requiring considerable funds and abundant human resources. We need your support to expedite the release of our innovative programs intended to disrupt and alleviate Economic Euthanasia. Please help us fulfill our mission and realize our vision by donating the time you feel comfortable contributing. The Volunteer Coordinator function is vital to our organization's mission and vision. Accordingly, the position will convert from an unpaid volunteer role to a paid career when the company is solvent.

    Title: Volunteer Coordinator

    Pay: This is an unpaid position that will convert to a paid salary of $30,000–$35,000

    Time Commitment: Up to 10+ hours per week with a min. commitment of six-months

    Shift and Schedule: You decide, Monday – Friday

    Location: Remote/Work-from-Home

    Reports to: President & Executive Director, COO, BOD

    Department or Team: Volunteer Department (New)

    Job Summary: The Volunteer Coordinator is responsible for recruiting, engaging, retaining, and referring all volunteers to the appropriate company components for training and volunteer assignments. The Volunteer Coordinator will oversee the administration and use of TPF's volunteer software and ensure all required volunteer data is entered into TPF systems. The Volunteer Coordinator will ensure that all long-term TPF volunteers have completed their required documentation. This individual will work with each department head to ensure adequate volunteer staff are available based on an agreed-upon roster of positions. The Volunteer Coordinator will collaborate with staff companywide identifying opportunities to leverage TPF’s volunteer program for the benefit of TPF. The Volunteer Coordinator will also help create, implement, and coordinate fundraising activities with the Fundraising Coordinator or Director.

    Primary Responsibilities:

    Ensure adequate volunteers for daily operations via attendees on existing software and volunteer recruitment platforms.

    Establish a process, in collaboration with our admin team, to contact prospective volunteers not assigned to a shift, about the availability of open positions and to confirm in advance the planned attendance of volunteers for shifts they have selected.

    Maintain statistics on shifts occupied, volunteer cancellations, daily volunteer attendance, and other useful key indicators.

    The ability to match volunteers with functions based on skills, interests, and availability is crucial. You would create schedules, assign tasks, and ensure that volunteers are placed where their contributions are most needed and effective.

    Represent animal welfare in the wider community at all events/locations where potential volunteers may be recruited and utilized.

    Provide orientation to all incoming volunteers and coordinate with department heads for work assignments, and with the Marketing & PR Team.

    Prepare a monthly report on Volunteer activity for the Executive Director to be submitted to the Board of Directors.

    Create and implement a thorough orientation program collaborating with the other department heads.

    Ensure basic background checks are administered to all long-term volunteers collaborating with the Compliance Director.

    Plan and organize two volunteer appreciation events each year.

    Create and oversee ongoing volunteer appreciation programs, including sending regular acknowledgment correspondence to volunteers (thank you cards, birthday cards, etc.)

    Administer an ongoing volunteer survey process to provide insight into the TPF Volunteer experience, provide survey results, and follow up with volunteers when apt.

    Ensure proper Volunteer Policies, Procedures, and Handbooks are current.

    Qualifications:

    Minimum of 1-3 years of experience in a non-profit organization.

    Strong knowledge of non-profit practices.

    Excellent attention to detail and organizational skills.

    Experience in volunteer recruitment and training through various channels, e.g., online platforms, community outreach, or strategic partnerships with organizations.

    Effective communication and interpersonal skills.
