Position Title: Board Secretary

Purpose: The secretary keeps a record of the approved minutes of all board meetings.

About: The Highline SeaTac Botanical Garden is a one-of-a-kind heritage garden created to preserve some of the area’s most treasured gardens. The Garden's mission is "Connecting the community to nature through a diverse and beautiful collection of historical gardens”. The Highline Botanical Garden Foundation was incorporated in 1999 to support an eleven-acre botanical garden in North SeaTac Park in the City of SeaTac, WA. The garden includes- an English style shade garden, rose garden, Japanese garden, orchard, green house and propagation area, and community garden. Within each of these gardens are rare perennials, natural paths, open lawns, native woodlands, ponds and water features. The Highline SeaTac Botanical Garden is community asset, we welcome all visitors and provide a refuge to relax and enjoy nature’s beauty. HBGF is committed to attracting and retaining a diverse Staff, Volunteers, and Board Members and will honor your experiences, perspectives, and unique identity. Key Responsibilities:

·      Expected to attend meetings and give timely reports.

·      Attend all meetings of the membership and the board.

·      Maintain custody, order and access to records of the chapter, including taking and distributing minutes of meetings.

·      Send notice of meetings to appropriate board members.

·      Perform other duties as defined by the Bylaws or Board Policy.

·      Record minutes of all membership and board meetings and share with the board at subsequent board meetings. Email the minutes to the board president prior to the next meeting. Minutes should contain the following information: Name of and type of meeting, date, location, chair of the meeting, and a list of attendees. For membership meetings, include the approximate number of members. For board meetings, include a brief description of the business that was discussed, and any decisions that were made, the exact wording of any motions, and resulting votes. Also include the secretary’s name.

Qualifications: The secretary must display a commitment to the organization and an understanding of the organization and its principles, mission, goals, services, and the responsibilities and relationships of governance of record keeping. The secretary must also display the following:

·      An ability to successfully work with and maintain a productive relationship with the executive director, staff and board members.

·      Create a safe environment for decision-making.

·      Serve as an active advocate and ambassador for the organization and fully engage to advance the HBGF mission.

·      Prepare for, attend, and conscientiously participate in board meetings.

·      Participate fully in one or more committees

·      Adherence of the Articles of Incorporation and Bylaws.

Responsible to: The board of directors, Highline SeaTac Botanical Garden membership, and the public.

Length of Appointment: The term is 2 years.

Time Commitment: Approximately 5 hours per month.
