Hesed Organization is a non-profit organization committed to fight poverty and alleviate the lives of the less fortunate by building strong communities through its five program areas: Sports, Arts & Culture, Education, Health, and Human Services.
Hesed Organization is seeking an energetic, diligent, self-motivated, and articulate team player to join its staff as a Program and Operations Coordinator to manage and execute critical program and development-related activities. The Operations Coordinator will support the teams in developing strategies to meet fundraising goals, and operational activities and ensure organizational effectiveness.
The role involves:
Oversees ongoing operations of the foundation including but not limited to research, compliance, and communications; financial management and reporting; vendor management and business administration.
Assist the president/CEO with specific tasks, which include creating/updating employee manuals and handbooks, event planning,
Applicants who have previous skills in program management, administration and communication are encouraged to apply. An understanding of the philanthropic and non-profit sector is required.
Development & Fundraising Support Includes
Event planning and preparation for fundraising events, including logistical support, travel, AV and other vendor relationships.
Supporting the leadership team in communications efforts including media engagement, social media penetration, production of publications, etc.
Implement marketing and communications campaigns to build program recognition including: social media, email marketing, and direct outreach through phone and individual meetings. Assist with the design and drafting of marketing materials.
Organization research and proposal production support.
Cultivate relationships with corporate sponsors.
Grant report production, including tracking advancement, delivery and follow-up.
Operations Support Includes
Manage relationships with IT partners, website designers/hosts and other technology providers to ensure smooth and continuous operations.
Maintain organizational documents, policies, board meeting minutes, reports and other resources.
Provide support for the leadership team and key advisors.
Conduct reviews of operations to measure effectiveness and outcomes.
Reports to the executive director.
Assist the executive director in examining, developing, implementing, documentation and communicate the goals and values of the organization.
Draft budget for annual expenditures in consultation with executive director; assist with preparation of the organization’s entire annual budget.
Maintain up-to-date versions of important/corporate documents as required by law (for example, board meeting minutes, foundation bylaws) and communicate with executive director to ensure annual review of such documents and processes.
Provide supervision, support, coaching and training for junior-level staff in conjunction with executive director.
Manage and support organization events and program activities (i.e., board meetings, educational sessions, receptions, etc.) as required.
Assist with special projects managed by the executive director.
Provide coverage and back up for other administrative tasks and grants administration, as needed.
Skills and Qualifications
Bachelor’s degree and 4-6 years of relevant experience; a graduate degree is a plus.
Knowledge of best practices, and legal & accounting and regulatory requirements for grantmaking; understanding of IRS regulations regarding private foundations.
Proficiency in Microsoft Office Suite, QuickBooks accounting.
Excellent verbal and written communication skills, strong customer-service orientation, outstanding negotiation skills, professional composure under pressure.
Superior attention to detail and excellent organizational, time-management and project management skills with the ability to prioritize, multi-task and work independently as well as collaboratively as a member of a team.
Strong judgment, analytic reasoning, critical thinking and problem-solving skills.
Impeccable, integrity and trustworthiness, with an ability to handle sensitive information effectively and confidentially.
