Reporting to the YWR Executive Assistant to the President; Director, Executive Support, the Senior Administrative Coordinator is responsible for assisting in the orchestration of daily operations and administrative aspects of the Office of the President. The Senior Administrative Coordinator, in collaboration with the Administrative Manager, supports the Executive Assistant to the President in scheduling, travel related documentation and reports, tracking and updating contact information, and the implementation of planning processes for the sophisticated and efficient functionality of Executive Support within the office. 


1. Assist in the coordination of meetings for the President and the Executive Assistant to the President, including the creation and maintenance of to-be-scheduled lists, meeting logistics, travel itineraries and m programs. 

2. Assist in the coordination and preparation of resource material for scheduled meetings and presentations in a timely and accurate manner. 

3. Continually update contact information and ensure the smooth function of workflow and coordination of senior leadership and executive support, including calendar comparisons, dissemination of briefings, leadership meetings and logistics. 

4. Support the Executive Assistant to the President in all administrative details related to Executive Support. 

5. Partner with the Administrative Manager on planning all administrative details pertaining to the President's fall semester class, including textbook orders, teaching assistant requests, and organization of the midterm and final exams. 

6. Act as a liaison to a broad range of constituents; occasionally receive visitors and field calls for the Office of the President. Provide back-up coverage for other administrative positions and duties as required. 

7. Partner with the Administrative Manager on projects in support of the various initiatives of the Office of the President. 

8. Prepare complex travel and expense reports with accuracy in a timely manner. 

9. Additional duties as assigned.

Minimum Qualifications for Grade 

Applicant MUST meet these minimum qualifications to be considered an applicant 

High School diploma /Bachelor's degree or its equivalent required. Minimum two years of related experience. 

Additional Position-Specific Minimum Qualifications 

Applicant MUST meet these minimum qualifications to be considered an applicant 

Minimum of two years administrative support experience and knowledge of modern office practices. Tact and good judgment in confidential situations and proven experience interacting with senior management. Excellent customer service, and superior verbal and written communication skills. Ability to coordinate multiple projects with competing priorities. Must be detail-oriented, exercise good judgment, and work as an YWR family member in a revolving and often spontaneous environment. Highly proficient in Microsoft Office with advanced computer skills, including ability to create complex spreadsheets, manage databases and generate reports. Confidentiality and discretion are required. Must be consistently punctual and able to be flexible especially on Saturday and some evenings working from home as needed in which individual will be compensated for their work from home hours.

Special Instructions: 

Preferred Qualifications 

Prior experience supporting an executive level office or position strongly preferred.
