The Operations Associate Position

The Operations Associate will support both internal and project operational needs, as detailed in the functions and responsibilities below. This position is ideal for a well-organized, detail-oriented individual who strives to blend efficiency, creativity, and professionalism.

This is a California-based remote position, with the option of working from a GPG office if one is available nearby. 

Functions and Responsibilities

Support GPG internal operations, including:

  1. Coordinating client contracting and related paperwork, including certificates of insurance
  2. Organizing and managing internal shared folders
  3. Developing and updating document templates
  4. Updating and maintaining GPG website, wiki, and social media
  5. Planning, coordinating, and documenting regular internal meetings and annual retreats
  6. Coordinating team professional learning activities such as book club, topic trainings, etc.
  7. Researching and testing new platforms and technologies and supporting GPG team members to use them
  8. Maintaining GPG client and project tracking systems
  9. Purchasing and organizing equipment and supplies
  10. Maintaining and managing relevant subscriptions
  11. Other related responsibilities


Support GPG project operations, including:

  1. Managing meeting and event registration
  2. Supporting meeting logistics planning and preparation
  3. Supporting Zoom meetings and webinars (e.g., managing registration, breakout rooms, language interpretation, recording, etc.)
  4. Developing documents (e.g., meeting agendas, shared notes documents, etc.)
  5. Formatting documents 
  6. Managing calendar invitations
  7. Coordinating language translation and interpretation services
  8. Copyediting draft documents and communications
  9. Planning and managing in-person meeting venues, catering, and travel reservations 
  10. Coordinating in-person meeting room setup (e.g., tables and chairs, audio/video, etc.)
  11. Other related responsibilities
  12. Build positive working relationships with GPG clients and team members

Qualifications

Minimum Qualifications:

  1. 2+ years of experience in a similar capacity
  2. Experience coordinating meeting or event logistics
  3. Experience with Zoom meeting and webinar features
  4. Experience with Google Suite, especially Google Docs and Slides
  5. Ability to work effectively as part of a collaborative team and in a virtual environment
  6. Ability to work on multiple projects at the same time
  7. Effective written and verbal communication skills
  8. Strong attention to detail and commitment to quality

Preferred Qualifications:

  1. Experience with website development or maintenance, in particular with Wordpress
  2. Experience with Notion
  3. Experience with Canva
  4. Experience with Microsoft Office Suite (Word, Excel, PowerPoint)
  5. Experience working with the public, nonprofit, and/or philanthropic sectors
  6. Experience working in the education, workforce development, human services, and/or health fields

Compensación

GPG offers employee benefits including annual profit sharing, a 401(k) plan with employer contribution, health and dental insurance, and paid time off (4 days during the last week of the year + 10 flexible PTO days to start), sick leave, and holidays (10 days).
