    Summary:

    The Project & Operations Associate reports directly to the Founder & CEO, and will provide key support for her and our strategy consultants on client projects and internal operations. This role is designed to augment and amplify the strengths and expertise of our current consultants and CEO by carrying out key administrative, project management, and organizational tasks that support their efficiency and effectiveness. You will help implement the communications, marketing, or fundraising strategy designed by our strategy consultants alongside clients, but will not be expected to develop these strategies or lead client projects yourself.

    This is an early-career generalist role for someone with a few years of experience in communications or development in the nonprofit sector. It will be a great fit for someone who ultimately sees themselves pursuing a career in nonprofit communications, development, or leadership - and wants to learn from seasoned experts by integrating yourself into their work on the ground across multiple contexts and mission spaces.

    • Residence in Washington state
    • 2-3 years of experience working in a nonprofit organization setting - fundraising or communications/marketing experience a plus!
    • Interest in gaining experience in a broad variety of skills and tasks related to nonprofit development, marketing and social media, events, and operations
    • Interest in and commitment to applying an anti-racist / equity lens to your work
    • Solid interpersonal and communication skills that allow you to adapt to working with different personalities, people from a variety of cultural backgrounds, and those who embody intersectional identities
    • Proactive, detail-oriented, and organized
    • Strong prioritization and project management skills
    • A problem-solving mindset in dealing with setbacks, challenges, and changing or unanticipated circumstances
    • Curiosity, integrity, and a tendency to identify challenges and ways to improve
    • Familiarity with online collaboration tools like Google Workspace, Slack, Calendly, Asana, Airtable, Canva, etc - or able to pick up similar tools quickly
    • Familiarity with nonprofit-specific or communications-specific technology tools including donor CRMs/databases, email marketing platforms, social media management tools, and online giving platforms - or able to learn them easily

    Detailed Responsibilities:

    Though the balance may vary over time, the Project & Operations Associate will likely focus about 50% of your time on client-facing billable project work led by our strategy consultants, and about 50% of your time on a variety of tasks that support Common Great’s marketing, business development, and internal operations.

    We do not expect the person in this role to have done everything in the lists below prior to joining our team; you will receive appropriate guidance and training from our team on unfamiliar tasks!

    Internal Support: Business Development, Marketing, and Internal Operations

    As directed by the CEO, the Project & Operations Associate will be the driving force behind key internal operations and practices that allow our consultants to thrive in their roles and focus on helping our clients succeed. This includes:

    • Help track the status and follow-up actions for potential new client projects on a weekly basis; help schedule initial and follow-up meetings with potential clients
    • Lead planned internal adoptions of Asana and Airtable in 2025; build and maintain a variety of project management and database assets inside those tools on an ongoing basis after launch
    • Manage, support, and improve our use of tools like Slack, Calendly, Asana, Airtable, and Canva on an ongoing basis; help research and select new technology tools for internal or client project use as needed
    • Help maintain and document a clear organizational structure for key files on Google Drive, including managing and maintaining up-to-date cloneable project infrastructure for new projects
    • Manage, organize, and update a wide variety of internal tools and templates for different purposes, including current & historical project trackers and information, employee and operations handbooks, proposal and contract templates, project management trackers, client reporting tools, client and team onboarding procedures, team and client meeting agendas, deliverable document formats, etc
    • Document core internal processes and standard operating procedures (SOPs) to improve internal efficiency and effectiveness
    • Maintain and organize professional development resources and internal education resources that help keep our team up to date on the latest research, data, sector trends, and technology tools
    • Conduct month-end project management hours usage updates in internal systems to ensure the CEO and team have clarity on workload and hours available for current projects and can make precise financial and implementation projections
    • Coordinate and update agendas for weekly internal team meetings
    • Help senior marketing consultant plan and implement our monthly email newsletter; help analyze communications engagement data for monthly reports on Common Great’s LinkedI, email, and website performance, in collaboration with a senior marketing consultant
    • Request testimonials and quotes from past clients, and send updated information to clients as needed
    • Other support and operational tasks as needed

    Client Project Support: Communications, Marketing, and Development

    Every client project looks different, based on the specific needs of each organization. Your role inside a variety of client projects will be directed by the project’s lead consultant, and will include combinations of key activities that support their development and communications strategies and the overall success of our team. These possible client project tasks and responsibilities could include:

    • Coordinating meeting scheduling, managing client meeting agendas, and sending follow-up communications or action item requests to clients
    • Set up initial client project management architecture for new projects, including Google Drive files, building and managing project tracking inside Asana, and helping create client-facing planning tools and dashboards
    • Research and resource collection related to client projects and needs
    • Basic data entry, gift stewardship, report creation, success analysis, event list management, and other operational tasks for long-term clients in projects where we function as their development team - as directed by a consultant
    • Implementation and evaluation of social media strategies, email newsletters, basic website updates, and other communications-related tasks for long-term clients in projects where we function as their marketing team - as directed by a consultant
    • Occasional writing creative and functional writing projects related to client projects, with support and training from project consultants
    • Occasional on-site participation in client meetings or events
    • Conducting Common Great’s comprehensive donor data analysis on strategy consulting projects (after receiving training from existing team members)
    • Running wealth screens and supplementary prospect research from internal and external resources to support client donor strategy (with training)
    • Basic Canva / graphic design for deliverable documents and other “light design” project-related materials (with training)
    • Proofreading and documenting campaigns and other client deliverables
    • Other necessary operational, communications, and development tasks on client projects - as directed by a consultant
