About the Organization

The Society of Professional Benefit Administrators (SPBA) has a 46-year history of helping members reach their full potential by providing information and insights related to existing and proposed legislation, regulations, and guidance affecting employee benefit plan administration. Today, SPBA’s membership comprises 160 third party administrators (TPA) that provide US workers and their dependents with health benefit plans and 45 service partners that offer a variety of services to TPA firms.

 

Position Purpose and Summary

The Operations Coordinator works collaboratively with the Director of Member Services to form the administrative and operations team. This position provides critical office support functions to ensure the smooth running of the office, handles organization communications, and helps plan yearly membership meetings. The Coordinator reports directly to the President and shares suggestions on operational efficiencies. The direct employer for this position is a management company, ACL Inc.

 

Primary Responsibilities

  • Respond to SPBA email inquiries about the website, webinars, prospective members, and technical questions from members that need to be sent to the government relations team.
  • Proofread, format, and post the newsletter and email alerts using the technology.
  • Maintain the website, upload articles and documents, and ensure members and the board have appropriate access. Troubleshoot with IT company when issues arise.
  • Ensure sound office operations by coordinating with vendors to update the website, obtain needed graphics from the designer, and maintain supplies, equipment, technology, and facilities.
  • Maintain office procedure manual, and make suggestions on how to improve operations.
  • Research and keep SPBA abreast of best practices with running meetings.
  • Assist and provide support for SPBA projects.
  • Conduct outreach to prospective members, speak about the benefits of joining a trade association, maintain the member directory, and assess satisfaction levels of members.
  • Help plan two annual meetings, including site selection, logistics, set up the meeting app, coordinating with speakers for their presentations to be uploaded on the website and the app.
  • Ability to present comparable hotel information in a professional format to the President to compare proposals. 

 

Qualifications Required

Strong organizational/operational skills to keep the office well-maintained and to keep projects moving along. Capability to manage multiple tasks simultaneously. Strong customer service and interpersonal skills for engaging members and creating a friendly, helpful, welcoming atmosphere. Ability to adapt and take on new duties as needed. Strong commitment to continuous improvement in serving members. Strong proofreading skills. Excellent written and verbal communication skills.

Education: Bachelor’s degree preferred.

Technology: Microsoft Office proficiency required.

Travel: Two annual trips, each 3-4 nights, one in DC in Spring and one in the West in Fall. 


The salary for this position will be in the $60-70K range. Benefits include 100% single coverage on health insurance. 15% simplified employee pension after working fully for 1 year.
