We seek a highly organized, tech savvy, and people-first Senior Search Coordinator to serve as the central pulse of our executive search projects and bring a focus on client care. The firm’s success and hyper growth over the last five years calls for a higher level of administrative support to maintain and exceed the superlative levels of service delivery that Pearl Street has become known for. Working across our portfolio of recruitment assignments, the Senior Search Coordinator will ensure that projects stay on schedule, and that our clients, candidates, and internal team members are fully informed and supported along the way. Reporting to the Co-Founder and Managing Partner for Search Management, and collaborating with team members across the firm, the Senior Search Coordinator will provide support for all administrative tasks related to a successful search process and outcome. The role is vital to ensuring everyone has the information they need, when they need it, and to provide a seamless, thoughtful experience for all involved in the search journey.

The Senior Search Coordinator will drive key stages of the search process, typically managing activities for a series of concurrent searches that would be sequenced over time. Working closely with the Managing Partner and respective search teams (comprised of a project lead, recruiter, and researcher), the Senior Search Coordinator will track project deliverables, playing an ownership role in the oversight of administrative tasks and supporting search teams to achieve milestone deadlines.

In addition, the Senior Search Coordinator plays an integral role in building relationships with clients and candidates throughout the search process and for the life of our relationships, demonstrating responsiveness, timeliness, and a sense of urgency in all interactions. They handle communication with clients and candidates promptly and professionally, going above and beyond to provide exceptional service and care.

The Senior Search Coordinator will prepare high-quality documents, presentations, and correspondence, maintaining confidentiality and upholding the firm’s standards of excellence and outstanding reputation along the way. We will also expect the Senior Coordinator to contribute to a strong internal team culture as they build close working relationships with colleagues.

The ideal candidate will be highly organized, an exceptional written and verbal communicator who can see the big picture while caring for the smallest details. The ability to anticipate the course of a high-level recruitment process and the needs of the Managing Partner will be fundamental in this trusted role. It requires high emotional intelligence, an initiative-taking approach that anticipates needs, and the ability to manage high-volume tasks in a dynamic setting. Emphasis will be placed on the ability to treat others with care and empathy, customer service, and a personal approach and philosophy that aligns with Pearl Street’s values and principles.

Select Professional & Personal Qualifications

  • Minimum of two years providing high-level administrative support within executive search, talent acquisition, human resources (particularly for a nonprofit or university) or similar client-driven environment such as a law, accounting, or management consulting firm. Candidates who have built a long-term career in administrative work are welcome to apply as we are open to broadening this role’s responsibilities and salary range commensurate with a significant track record in executive and/or administrative support.
  • Proven ability to meet multiple and/or unexpected deadlines in a fast-paced environment with a demand for quick turnarounds.
  • Superior organizational, verbal and written communication skills. An exceptional writer able to relay information with warmth and charm.
  • Highest proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Teams and/or Zoom. Experience with databases (i.e., CRM or ATS), Adobe Acrobat, Sharepoint, Squarespace, MS Admin is helpful but not necessary if there is a willingness to learn new technologies.
  • Comfort interacting with professionals at all levels via phone, Zoom, and email; unafraid of a cold outreach.

This is a full-time, virtual position based in Massachusetts with an annual salary range of $60,000 to $90,000 based on years of work experience. Candidates who have built a long-term career in administrative work are welcome to apply as we are open to broadening this role’s responsibilities and salary range commensurate with a significant track record in executive and/or administrative support.
