Stanford Impact Labs (SIL) was created to help make such progress possible.

A major initiative at Stanford University, SIL invests in mission-driven teams of researchers and practitioners from government, business, nonprofit organizations, and philanthropy. These teams (we call them impact labs) work together on social problems of their choice, where practical progress is possible. WHAT YOU’LL DO

The Chief of Staff will work directly with Stanford Impact Labs co-leadership (Executive Director and Faculty Director) to plan and execute key initiatives. They will work cross-functionally with the SIL sub-teams to identify, analyze and present key strategic issues to senior leadership. The ideal candidate will have excellent verbal & written communications skills and a thoughtful, persuasive personal style. Self-starters who are comfortable in a project-oriented environment will find it easier to be successful in this role.

Specifically, the Chief of Staff position will include:

  • Decision-Making Support: Provide research and analysis to co-leadership to improve organizational decision making. Liaise with program staff to understand top priorities and identify blockers for progress.
  • Organizational Calendar Development: Support the Executive Director in building out an organizational calendar of meetings and events designed to facilitate cross-team communication and collaboration, consistently develop team culture, and engage relevant external stakeholders. Independently implement the logistics for the organizational calendar of events and develop agendas.
  • Content Development: Prepare proposals, presentations, and reports to partner organizations, funders, and key stakeholders while working closely with the Office of Development (OOD), communications team and program staff.
  • Operations and Process Improvement: Identify areas for improvements in processes, policies and culture. Research, perform benchmarking, analyze information and make recommendations for the creation of new or improvement of existing processes.  
  • Stakeholder and Meeting Coordination/Management: Coordinate meetings on behalf of co-leadership as needed, work with content leads, prepare and send out agendas and relevant materials in advance, and follow up post-meetings. As assigned, triage inbound inquiries from external stakeholders via initial exploratory meetings to distill needs and opportunities for collaboration with SIL or other parts of the university.
  • Strategic Planning: Support annual strategic planning process for the organization by acting as a project manager and ensuring alignment with the co-leadership and directors.
  • Strategic Initiative Support: Provide design, research, and/or implementation support for specific strategic initiatives that are deemed critical to the organization’s success and require additional capacity. This likely includes logistics support for SIL’s practitioner-focused fellowships.

  • You are a successful collaborator. You’re comfortable working with people outside of your direct reporting line. You have experience communicating and collaborating with stakeholders at a variety of levels of seniority.
  • You are analytical and decisive. You can employ analytical skills and judgment to solve problems with limited information at hand.
  • You are committed to inclusion. You have experience working to make people from different experiences, backgrounds, and perspectives feel welcome, valued, and cared for.

WE WOULD ALSO LOVE

  • Familiarity with Asana for task management, Outlook for email and scheduling, and Google Drive for document management and file sharing.

CORE DUTIES

  • Independently implement, administer and evaluate day-to-day activities of the unit, function or program by identifying and executing tasks and objectives, making recommendations that impact policies and programs, and assigning resources to achieve the goals of the program.
  • Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program or function.
  • Analyze and interpret policies; develop, revise and implement procedures for program or function. 
  • Represent the program or function as the key contact and subject matter expert within the department, unit or school. Commit resources and provide information and/or training. May also represent the program or function to external/internal stakeholders and constituencies.
  • Organize and/or participate in outreach activities that may include developing communications and training, planning/promoting events and/or conferences. 
  • May participate in development of budgets, monitor, and approve expenditures. May perform limited forecasting and provide recommendations that determine the budget.
  • May direct staff to perform various tasks and assignments. May also supervise staff.
  • *Other duties may also be assigned.

Education & Experience

  • Bachelor’s degree and three years of relevant experience, or a combination of education and relevant experience.

Knowledge, Skills and Abilities

  • Demonstrated ability to prioritize own work and multi-task.
  • Demonstrated excellent organizational skills.
  • Demonstrated ability to take initiative and ownership of projects.
  • Ability to communicate effectively both orally and in writing.
  • Ability to routinely and independently exercise sound judgment in making decisions.

  • Relevant subject matter knowledge.
  • Ability to direct the work of others, for jobs requiring supervision.

Physical Requirements*

  • Constantly perform desk-based computer tasks.
  • Frequently stand/walk, sitting, grasp lightly/fine manipulation.
  • Occasionally use a telephone.
  • Occasionally lift/carry/push/pull objects that weigh 11-20 pounds.
