Each year, millions of people visit Sites of Conscience across the globe to engage in uniquely effective public programs that promote civic action by connecting history and memory with contemporary human rights, social justice and transitional justice issues.

Position Description:

The Finance and Administrative Assistant is an integral member of the Finance and Operations Department. Reporting directly to the Director of Finance and Operations, the administrative assistant supports the day-to-day financial administration of the organization, with a particular focus on efficient, accurate, and smooth functioning of Accounts Payable and Receivable, maintaining financial and personnel records, coordinating logistics in accordance with program objectives, verifying all direct program expenditures, and assisting with reconciling accounts for the programs. The Finance and Administrative Assistant provides support to the Finance Department and the Director of Finance and Operations as needed. Ad hoc special projects may be assigned at the discretion of the Director of Finance and Operations. 

This position is a hybrid of remote and in-person work due to the fact that some duties can only be performed in person. Only candidates within reasonable commuting distance to our headquarters in New York City should apply. Relocation is not offered.    

Main Duties and Responsibilities

  • Supports the Accounts Payable function of the Coalition by setting up domestic and international vendors in the financial accounting system by coordinating with internal and external partners and vendors; sets up bills in the online system; coordinates with Departments and vendors regarding status of payments
  • Supports the Accounts Receivable function of the Coalition by generating receivables invoices, following-up on requests, and coordinating with Departments
  • Day-to-day bookkeeping input into QuickBooks, including recording bills, invoices, payments, deposits, wire transfers, bank withdrawals, transfers
  • Support the processing and reconciliation of staff travel and business expenses, disbursement of per diems and processing stipends for international workshop participants and other program staff
  • Maintain electronic financial and personnel files
  • Facilities support including coordinating employee IDs to access building, assisting in IT setup, and other staff-related logistics
  • Assist with preparation of annual audits and compliance visits
  • Assist with overall office operations, including scheduling, staff timesheets, ordering of supplies, researching and managing relationships with vendors, shipping packages, coordinating equipment maintenance and physical organization of the office, and troubleshooting general office needs
  • Human Resources/Operations support including benefits requests, compiling reports, information-gathering, and supporting the Coalition’s online Human Resource Information System
  • Perform other administrative duties as requested
  • Expected hire date is January 1, 2022

Requirements

  • One to three years’ relevant experience, preferably in fast-paced, dynamic organization
  • Proficiency in Microsoft Excel and QuickBooks Desktop is strongly preferred
  • Experience with Accounts Payable software, preferably Bill.com
  • Financial competence, attention to detail and accuracy
  • Excellent organizational, problem-solving, and written and oral communication skills
  • Fluency in Spanish, French, Russian, or another language from a region where the Coalition works is a plus
