The Healing Center is a small-but-mighty non-profit that serves the greater Puget Sound region in providing grief support to people of all ages. We are seeking an Operations Manager to be at the heart of our organization, ensuring we provide our services effectively. The Operations Manager role is the glue that holds our organization together, ensuring that the administrative support functions – customer service, business administration, records keeping, information systems, communications, human resources, development, and program support – are executed in a timely manner. This position reports to the Center Director and works collaboratively with the director and program staff as well as contracted specialists in areas of bookkeeping, info systems, website management, development and grant writing. The candidate must have a positive and supportive attitude and strong belief in The Healing Center’s mission and vision. In addition, the ideal candidate must be able to work independently, seek creative solutions to dynamic challenges, and balance and prioritize multiple demands.
This position works remotely, needs to be available during operating hours (M-F, 10am-4pm). In person work for occasional special events and meetings required.
Duties and Responsibilities
- Manage front line communications between THC and the public, including phone, email, mail and social media.
- Manage new client inquiries and facilitate intake scheduling.
- Manage group calendar and communicate group schedule to clients.
- Maintain internal info systems administration and manage relationships with contracted tech support. Seek improvements to system administration that improves organizational effectiveness.
- Manage and maintain organization’s human resources policies, documentation, and files. Assist with hiring process and new staff onboarding.
- Manage website.
- Manage organizational shared drive.
- Manage the recording and reporting of donations. Working with the director and development manager, plan and monitor development strategies. Support execution of development campaigns.
- Coordinate with bookkeeper and director to ensure timely payment of accounts, implementation of budget, monitor tax payments and renewal of licenses and other contracts.
- Administer grant timeline, strategy and records. Serve as liaison to grant writer, providing needed documentation and information. Submit grants and manage communication with grantors.
- Assist to develop, implement and execute communications plan.
- Support programming policy and administration.
Qualifications
- Bachelor’s degree.
- 2+ years working in a non-profit setting.
- Proficiency in MS Office, Salesforce, Sharepoint and Zoom. Experience with Bloomerang a plus!
- Excellent organizational and time-management skills
- Ability to work independently and to prioritize tasks with minimal oversight.
- Aptitude to manage multiple complex tasks and attend to details.
- Willingness to take on new challenges and learn new skills in support of the improvement of organizational systems and procedures.
- Lives in the greater Seattle area.
