Operations Manager (PT)

POSITION TYPE:  Contractor (1099), Part-Time 

REMOTE: Remote, District of Columbia Metro Area Preferred

*Available for 2 - 4 in-person and/or virtual engagements annually, preferred

COMPENSATION: $2,085/mo + One-time Home Office Equipment Stipend $750* Access to a functioning printer is required for check printing

START DATE: no later than August 1, 2024

About Esperanza Education Fund

The Esperanza Education Fund (EEF)  is a volunteer-run college scholarship and mentorship program for immigrant students in the DC Metro Area. We are a small, but scrappy organization, with a long history and an annual budget ranging from $100,000 - $150,000. Founded in 2009 by a diverse group of young professionals, we have awarded over a million dollars in scholarships to promising immigrant and first-generation students, and matched them with mentors in their respective fields. Unlike most programs of its kind, the Esperanza Education Fund is open to all immigrant students, regardless of ethnicity, national origin, or immigration status. Our Current State:

This year marks Esperanza’s fifteen year anniversary. We are in a moment of strategic review, where we are revamping the organization’s operating structures to prepare ourselves for the next fifteen years of transformational impact on the lives of our Scholars. We are currently in the midst of onboarding new Board Members, implementing our 15th Anniversary Scholarship, and executing on a new fundraising plan. We're looking forward to continuing to build a strong, but lean team to take us through the next fifteen.

Responsibilities:

Financial Operations

With oversight of the Board Treasurer:

  • Scholarship Award payments & tracking – critical*
  • Manage Scholar communications regarding payments, document collection, and Awarding
  • Use QuickBooks Online Check function to print and disburse Scholarships Award payments to Scholar colleges and universities (typically twice a year, for the Fall and Spring semesters)
  • Track scholarship payments year over year to ensure financial accuracy over the course of the two or four-year scholarship Awards
  • Mail processing 
  • Using our online virtual mailbox
  • Accounts Payable & Accounts Receivable
  • Process organization expenses including contractor payments and scholarship award disbursements
  • Process physical checks and online gift contributions

Administrative Operations

  • Board support and administration 
  • Quarterly and monthly meeting agenda support and coordination
  • Thought-partnership with volunteer Board to support strategic vision implementation
  • Operations systems and tools management 
  • Administer and maintain existing systems and tools (Google Suite, Zoom, Wix, DonorBox, etc.), and identify opportunities to implement new ones
  • Manage virtual mailbox
  • Events management
  • Help coordinate any virtual or in-person events logistics as needed; could include vendor sourcing and management, event space logistics, ordering food, beverage, supplies and materials
  • Human resources support
  • Recruitment support as needed (for any future board member or contractors); could include interview questions selection, candidate tracking and interview scheduling

Requirements:

Education and Experience

  • Minimum Associates Degree from an accredited college or university
  • 3+ years of professional experience in operations management and administration
  • Experience working with volunteer staff
  • Nonprofit experience a plus
  • QuickBooks Online experience a plus

  • Self-starter

  • Previous invoicing, payroll, bill pay, and check processing experience
