Job Title: Development Operations Manager

Reports to: Senior Director of Development

Position Type: Full Time, Non-Exempt

Footsteps supports and affirms individuals and families who have left, or are contemplating leaving, insular ultra-Orthodox Jewish communities in their quest to lead self-determined lives. We provide crucial peer and professional resources and support as people embrace the challenge to redefine their identities and build new communities. Footsteps nurtures a network of individuals so that they not only survive in their new world, but thrive. Since Footsteps’ founding in 2003, the organization has served nearly 2,000 individuals, and in 2022, we expect our budget to reach over $4 million. 

This past year and a half has been a pivotal time for Footsteps. While we were already seeing a steady amount of growth pre-COVID-19, the pandemic and economic downturn forced us to develop creative strategies to support members and staff as we provide the highest quality care for our hard-hit and growing community. This is both an exciting and critical time to join the Footsteps team as we continue to build out our internal structures and capacity to meet the expanding needs of this community.

Position Overview

The Development Operations Manager is the cornerstone of efficiency for our development work, with tasks ranging from improving our infrastructure and organizational practices, to leading and implementing complex projects, to administrative support. Their primary role is to manage the Development Department’s operations including: identifying and championing solutions for database (Salesforce) improvement that support fundraising goals; processing donations, grants, and acknowledgements; prospect research and screening; data reporting and analysis; data management on all fundraising events, campaigns, and cultivation activities; and quality assurance of our database and financial records. The ideal candidate will excel at developing and maintaining systems; providing information, tools, and assistance to enhance the organization's development efforts; and contributing to strategic thinking based on best practices of data management and donor cultivation.


Job Responsibilities:

Data Management and Analysis (40%) 

  • Maintain integrity and hygiene of data and records, making sure all contact and gift information is regularly updated and audited for errors 
  • Collaborate with Communications team on ensuring that all data from e-mail marketing system is integrated with Salesforce
  • Undertake constituent analyses on monthly, quarterly, and annual basis; prepare constituent reports for Executive Team and Board of Directors
  • Maintain consistency in database processes and procedures and train staff accordingly
  • Collaborate with colleagues on operations team and Senior Director of Development on making Salesforce and systems improvements

Donations/Grants Processing and Acknowledgements (30%)

  • Act as the liaison with the Finance team, working cross-departmentally on processing incoming mail, maintaining gift log, entering and coding donations, foundation grants, and other sources of revenue
  • Produce acknowledgments for individual donors, foundations and other institutional donors, and special events
  • Work with the Finance team to ensure correct tracking and allocation of donations
  • Produce weekly gift and revenue reports
  • Reconcile revenue monthly

Donor Relations Support (30%)

  • Assist with preparation, list segmentation, and reporting for all cultivation and solicitation activities, including portfolio management, direct mail and digital campaigns, and events
  • Conduct prospect screenings and reports 
  • Provide support to the Institutional Relations team including tracking grant deadlines and maintaining electronic files of all reports, letters, and contracts 
  • Manage ‘monthly donor’ payments, pledges, and update credit card information when needed
  • Answer calls and respond to donor requests when needed
  • Provide additional administrative and logistical support to the Development department as needed


Qualifications:

  • Commitment to and passion for Footsteps’ mission and values
  • 3-5 years of relevant experience 
  • Experience working with CRMs and ability to become proficient in Salesforce
  • Understanding of best practices for development operations, data management, gift processing, and acknowledgements
  • Excellent organizational skills and impeccable attention to detail
  • Demonstrated ability to anticipate problems, find opportunities and improve systems with a solutions-oriented mindset, flexibility, and optimism
  • Comfort working in a fast-paced, growing organization with tight deadlines and shifting priorities 
  • Sound judgment and the ability to exercise discretion with confidential information
  • Excellent interpersonal, written, and oral communications skills 
  • Motivated self-starter with the ability to work independently and collaboratively
  • Strong customer service skills; you like people and want to help
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint


Preferred Qualifications:

  • Good understanding of philanthropy in the human rights and social justice sectors
  • Experience using Salesforce, Constant Contact, and Asana
  • Ability to express Footsteps’ mission and goals with clarity, passion, and persuasion
  • Curiosity in all aspects of your work

 

Location: Greater New York City Area - Temporarily Remote

Start Date: May 2022

Salary: $60,000-$68,000

COVID update: Footsteps is committed to the health and safety of our staff and will continue to follow recommended guidelines from health authorities. All staff are required to be vaccinated and are required to wear masks while in the office. All Footsteps staff are expected to work on a hybrid basis, currently one day a week in the office, but subject to change based on organizational needs and fluctuations in our public health situation.

COVID update

All staff are required to be vaccinated and are required to wear masks while in the office. The office is currently open to staff on a voluntary basis and closed to members and visitors. Once the New York City COVID positivity rate falls below 5%, staff will be required to be in the office at least once a week. All program offerings and services are currently happening remotely, offsite or outdoors.  We are planning to return to in-person programming in the office as public health conditions allow.
