GENERAL SUMMARY

The Gift Processing Specialist facilitates accurate data entry and timely donor communications at all stages of gift processing. As a liaison between the Development and Finance Departments, the Gift Processing Specialist will monitor and complete data entry for all incoming gifts, as well as acknowledge donations on a monthly basis. The duties of this role will also include regular communication with donors via mail, email, and phone. The Gift Processing Specialist reports to the Development Associate, in addition to working closely with members of both the Development and Finance teams to ensure accurate record keeping and strong donor relationships. The Gift Processing Specialist may work closely with at least one part-time intern to help achieve the goals of this position.

MAJOR DUTIES & RESPONSIBILITIES

Gift Entry:

  • Monitor incoming gifts weekly via credit card, check, electronic funds transfer, and cash;
  • Create and maintain weekly and monthly reports across donation platforms to collect gift data, ensuring accurate donor data across platforms;
  • Work closely with the Finance Department to ensure the accuracy and completion of the monthly donor mail log;
  • Complete detailed data entry for all incoming gifts using Google Sheets and our Customer relationship management (CRM) database, EveryAction;
  • Promptly notify relevant Development team members of major and/or important gifts;
  • Ensure long-term data integrity by regularly reviewing gift entry reports for accuracy;
  • Submit monthly gift data in accordance with external deadlines and coordinate with international Covenant House federation to address data issues or discrepancies;
  • Ensure accurate record keeping for special gift types, including in kind and tribute gifts;


Gift Acknowledgement:

  • Draft, prepare, and mail monthly acknowledgments for monetary & in-kind donations;
  • Prepare and review monthly donation reports to share with the Development team and Executive Leadership, tracking progress and monitoring trends;
  • Draft, prepare, and mail timely acknowledgments for special event donations, including but not limited to the Sleep Out, Crescent City Classic, and GiveNOLA Day;
  • Prepare and review timely donation reports for special events to share with the Development team and Executive Leadership, tracking progress and monitoring trends;

Donor Communications:

  • Communicate with donors as needed to answer questions and fulfill requests, including via phone, email, and mail; offer clear and concise explanations and answers to donors;
  • Direct donor requests to additional development staff when necessary; 
  • Support Development teammates with occasional additional mailings;
  • Monitor returned mail and donor requests regarding contact information changes, updating the CRM accordingly;

Other:

  • In collaboration with the Volunteer Coordinator, supervise intern(s) when possible, to support timely gift entry and acknowledgment practices;
  • Facilitate open lines of communication between Development & Finance teams, ensuring that staff is kept informed of relevant information and record keeping is consistent across departments; 
  • Initiate and maintain positive, professional, and mentoring relationships with youth and staff in accordance with Covenant House’s mission, principles, and core values;
  • Promote a peaceful, healing environment by utilizing the principles and practices of trauma-informed care and positive youth development in all aspects of work and youth engagement, including crisis prevention, intervention, and de-escalation.

KNOWLEDGE, SKILLS & EXPERIENCE

  • Associate’s degree and two years of related experience or equivalent combination of education and experience preferred;
  • Advanced knowledge of Microsoft Word, Excel, and Google Suite; experience reviewing and improving Excel systems a plus;
  • Knowledge of/experience with CRM systems (EveryAction a plus);
  • Excellent organizational and time management skills with the ability to meet multiple monthly deadlines;
  • Enjoys working closely with data; detail-oriented with special attention to accurate and timely record-keeping & data entry;
  • Strong customer service and communication abilities; comfortable interacting with donors via phone, e-mail, and mailings to answer questions, explain policies, and address requests;
  • Willing to manage up when needed to meet deadlines;
  • Able to supervise and review the work of at least one intern in gift entry and acknowledgment work.

Salary is non-exempt (hourly) = $14.4231/hr. - $16.8269/hr., plus comprehensive benefits package.
