We currently rent a shared office but are in the process of transitioning to a 100% remote workplace on a 4-day work week schedule! While we will be a remote workplace, the Executive Assistant is required to be in the Puget Sound region (Seattle, Tacoma, Olympia) of Washington State. Win|Win will not pay for relocation. Candidates who can not meet this requirement need not apply.

About the Position

We are looking for an Executive Assistant, a detail-oriented self-starter with integrity, and impeccable organizational and communication skills to join our fabulous, progressive, let’s make the world work better together team! Please apply if you know when to be the most gracious person in the room, when to protect the quarterback, and when to be an unstoppable force for completion and integrity.  The Executive Assistant is a full-time role that reports directly to the Executive Director, with some accountability to the Human Resources & Operations and Program Directors, and should be based in the Seattle area. 

All staff are expected to advance our mission, vision, and core strategies. The Executive Assistant will be expected to act as a champion for the Win|Win Network and our partners by understanding their programs and trends impacting the communities they serve. 

Core Responsibilities of the Role

ED Support (85%) 

  • Online and in-person conference and meeting organizing - including scheduling, sending reminders, and organizing catering when necessary
  • Prepare, assemble, and maintain complex and comprehensive documents, records,  and reports
  • Collect and compile, records and data/reports as needed 
  • Maintain multiple accurate online calendars - including making appointments and prioritizing the most sensitive matters
  • Troubleshoot technical issues
  • Regularly exercise independent judgment and discretion regarding confidential matters
  • Plan and arrange travel as needed
  • Support and coordinate fundraising efforts and programs
  • Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the ED’s behalf
  • Perform minor accounting duties

Support HR, Ops, & Program (15%) 

  • Coordinate with Bookkeeper to ensure that mail is picked up and processed regularly
  • Schedule and coordinate interviews,  investigations, meetings
  • Support HR and Program teams with additional duties and projects as directed by Department Directors

Minimum Experience & Skills

  • 2+ years as an Executive Assistant or 5+ years as an Administrative Assistant
  • 5+ years administrative experience in office setting
  • Experience and cultural competency working with diverse communities 
  • Ability to maintain a flexible working attitude, while performing job duties in stressful situations or handling complex communication
  • Strong listener with an aptitude for understanding disparate needs, asking clarifying questions and finding solutions
  • Adhere to regulatory and organizational policies in an ethical manner
  • Must be able to professionally handle sensitive information and maintain complete confidentiality
  • Advanced computer skills including Google Workspace strongly preferred: GMAIL, Calendar, Docs, Sheets, Slides - Alternatively, excellence in MS Office: Word, Excel and Outlook with proficient ability to learn new technology
  • Strong customer service and problem-solving skills
  • Willingness and aptitude to learn new technical skills
  • Ability to communicate effectively, both in writing and in person
  • Proven ability to reliably meet deadlines
  • Ability to work independently and in a team setting
  • Ability to manage several tasks/projects concurrently and prioritize work effectively
  • Must be a creative, high energy, hands-on professional who can successfully multitask
  • Ability to occasionally lift 25lbs in association with office management duties

Desired Experience & Skills

  • Experience navigating CRM, donor management, and/or HRIS systems
  • 2+ years working in HR Payroll/Benefits administration capacity
  • Working knowledge of Gusto or similar products

Compensation & Benefits

Salary Range: $54,500 - $58,200 based on experience.  This is a full-time (overtime-exempt) salaried position that requires a willingness to occasionally work outside of normal business hours. Win|Win transitioned to a 4-day work week effective January 2022 - the policy is currently under review and may be amended or revoked after an initial 90-day review period.

Benefits: 100% employer-paid medical, dental, vision, with dependent coverage (employee's expense), SIMPLE IRA with employer match, paid vacation, sick time and 10 paid holidays + the week between Christmas and New Years Eve.
