    Descripción

The Deputy Operations Director will oversee and execute all operations tasks. This role will involve managing payroll and onboarding operations, overseeing compliance and accounting work and supporting the organizing department during a period of rapid growth. This role carries the operational and compliance load that growth at that pace creates, so that program and field leadership can focus on the work in the field. It is a builder's role for someone who is energized by standing up clean processes under real deadlines and keeping them running.

    Key Responsibilities:

    Payroll and people operations

    • Run accurate, on-time payroll for all staff across multiple regions.
    • Own employment paperwork and onboarding compliance, including I-9, W-4, and direct deposit setup.
    • Maintain worker records and ensure correct classification of employees and any contractors.
    • Administer benefits and respond to staff questions on pay, withholding, and onboarding.

    Compliance and legal coordination

    • Build and maintain a compliance calendar that tracks filings, classifications, and obligations.
    • Coordinate with outside counsel and any compliance support on employment, tax, and regulatory matters.
    • Manage payroll tax obligations and filings, working with the accountant on deposits and reporting.

    Finance, vendors, and contracts

    • Partner with the Organizing & Operations Director and the accountant on budgeting, spend tracking, and cash and runway monitoring.
    • Administer vendors and contracts, including tools, hosting, and service providers, and manage renewals and obligations.
    • Track spend against the active funding tier and flag variances early.

    Data systems and reporting operations

    • Own the reliable operation and uptime of the organization's data collection and reporting systems, including the registration data entry application.
    • Maintain the reporting layer that feeds metrics to field leadership, and keep dashboards accurate and current.
    • Own configuration and reporting for the Airtable hiring system during the hiring ramp, giving leadership real-time visibility into fill rate against milestones.

    • Direct experience running or overseeing payroll for a multi-person organization.
    • Working knowledge of employment compliance, including worker classification, I-9 and W-4 requirements, and wage and hour basics.
    • Strong comfort with data systems and tools, including spreadsheets and databases, and the ability to own day-to-day system operation.
    • A track record of building and running processes under deadline pressure and through rapid growth.
    • Sharp attention to detail and sound judgment with sensitive financial and personnel data.
    • Background in nonprofit, civic, or campaign operations.
    • Experience scaling a seasonal or field workforce, including stipended or temporary workers.
    • Familiarity with QuickBooks Online, payroll tax mechanics, and multi-entity accounting.
