Its mission is to offer structured parent support, material goods, and community connections to support parents as they activate their natural strengths and expand their knowledge, so children thrive from the start. Room to Grow was founded in New York in 1998 and expanded to Boston in 2005, currently partnering with over 1,500 families with an annual budget of $5M and a team of 45 passionate and dedicated staff members. 

Room to Grow uses a two-generation, preventative, and strengths-based approach to engage families. Through its unique program, parents and caregivers partner with program staff to develop strategies to support their child's development, select the material items that their child needs, and connect with community resources that can expand their support network. Room to Grow program staff work alongside parents and caregivers as they build upon their existing skill sets and parenting styles and promote the well-being of their children and family. 

As an entrepreneurial and growth-oriented organization, Room to Grow is in an exciting period of development as it continues to expand its reach and impact in Boston and New York and potential future locations. In 2020, Room to Grow adapted and digitized parts of its model to continue supporting families during COVID-19, and it will continue to leverage best practices and resources to support low-income communities as circumstances evolve.

Position Summary

Room to Grow is at an exciting inflection point as an organization. We are preparing for ambitious growth and need expanded capacity to oversee an increase in inventory management as we add more families to the program. We are eager to fill this opening on our NY Site Operations team that will be responsible for leading our regional inventory processes and implementing new strategies as we move into our first warehouse space in NYC.

Reporting to the Executive Director, the Site Operations Manager will oversee the regional Site Operations team, with a strong focus on in-kind donation processing and distribution (approximately 200,000 items annually), and management of Room to Grow New York’s soon to be acquired warehouse space. This role will partner with the National Site Operations Manager to adapt and execute strategies at the local level. In addition to a six-person (and growing) Site Operations team, the Site Operations Manager will work with the national Community Engagement Department which sources in-kind donations and volunteer support through both community and corporate partners. This position will be primarily based out of the warehouse location, with travel to the South Bronx and Manhattan Family Centers as needed.

Position Responsibilities

Responsibilities include, but are not limited to:

  • In-Kind Donations/Inventory: Oversee the systems for intake, sorting, tracking, storage, and delivery of inventory items.
  • Lead the regional Site Operations team through the increased flow of items from donation through to distribution, including setting new processes to accommodate the growth in program size.
  • Oversee regular deliveries of inventory items to Family Centers from the warehouse, maintaining minimum stock levels of all items in each location, and ensuring there is enough support to pull orders at the warehouse and receive deliveries at the Family Centers.
  • Maintain internal data systems including Salesforce records, Google Sheets dashboards, and inventory management software to ensure that it is a trusted source-of-truth for available inventory, orders in progress, and outbound shipments.
  • Maintain accurate inventory quantities via regular cycle counts, ensure strict adherence to receiving processes for accurate inventory reporting, and oversee the sorting and reporting process of in-kind donations.
  • Analyze and report inventory data to ensure program fidelity and inform decision making processes.
  • Quality Assurance: Ensure that all items accepted for distribution meet stringent quality guidelines, and all items that do not are properly discarded. 
  • Warehouse Buildout and Management: Partner with the National Operations team and NY Executive Director to implement the first warehouse space in the NY region capable of supporting up to 2,500 families across NYC.
  • Coordinate with vendors to facilitate deliveries and buildout of new space, acting as the point of contact on site.
  • After buildout, maintain the warehouse space to ensure the safety of all individuals on site (including staff, volunteers, and donors) and OSHA compliance.
  • Make assessments and recommendations for design and operational improvements based on data and real world situations in order to keep the inventory program running smoothly.
  • Operate equipment necessary for warehouse operations such as a forklift and pallet jack.
  • Liaise with logistics companies to receive large corporate donations of items at the warehouse without interrupting daily operations.
  • Maintain COVID-19 (and any subsequent public health concerns) safety protocols and ensure everyone (staff, volunteers, donors, etc) follows proper health and safety procedures when onsite.
  • Team Management: manage and coach a team of six Site Operations staff members (two direct reports and 4+ indirect) across multiple locations and support in the oversight of any additional vendors, consultants, interns, and volunteers. 
  • Work closely with the Site Operations Coordinator and Site Operations Associate to ensure smooth daily operations and maintenance of all New York Family Centers and future warehouse space.
  • Partner with the Site Operations Coordinator to ensure adequate staffing for all sites, reviewing the monthly Site Operations Assistants schedule and providing feedback and/or direction as needed.
  • Track and maintain the regional Site Operations budget, reporting any anticipated variances to the Executive Director.
  • Maintain open lines of communication, having Site Operations relay any relevant information learned about donors or volunteers to the Community Engagement and/or Development team as appropriate. Examples include interest in hosting drives, corporate matching opportunities, and more.
  • Volunteer Program: Oversee the implementation of a robust volunteer program, acting as a knowledgeable and enthusiastic representative of the program to external audiences, and facilitating a positive environment where volunteers feel they are contributing to the organization’s success.
  • Coordinate with the Community Engagement Department around scheduling strategy, including some evenings and weekends, and leading volunteer groups, ensuring there is enough staff coverage for volunteer projects and stepping in as lead when needed.
  • Strategize group/individual volunteer projects and tasks with the Site Operations team to ensure efficient and effective use of labor.
  • Cross-Department Coordination: Partner with other departments in order to maximize efficiency and effectiveness to enhance work across the organization. Examples include:
  • Coordinate with the Site Operations team and the Family Support and Site Operations (FaSSO) team to ensure all sites are properly maintained and stocked.
  • Collaborate with the Communications Director around content creation needs such as photos and video clips of the inventory and volunteer programs.
  • Partner with the Community Engagement Department to ensure flow of in-kind donations can support the inventory program, and that there is enough volunteer support engaged to work through in-kind donations.
  • Communicate notable inventory related information to the Program team, such as large donations of specific items, and be responsive to any concerns raised around inventory quality.

Qualifications and Experience

  • A passion for the mission, vision, and core values of Room to Grow
  • Bilingual (English/Spanish) candidates are strongly encouraged to apply
  • 3-5+ years relevant experience with proven success in complex systems management, and at least 1+ year(s) of people management experience 
  • Prior Inventory or retail management experience preferred
  • Highly organized, resourceful, and solutions-oriented with strong project management skills and the ability to multitask
  • Strong communication skills and comfortable with external engagement and public speaking
  • High level of professionalism, integrity, accountability, and judgment
  • Flexibility with work schedule including some evenings and weekends
  • Able to lift and carry 40 pounds
  • Able to stand and walk for extended periods of time
  • Experience with forklifts and pallet jacks a big plus
  • Strong Google Suite fluency a plus
  • Experience with database management, especially Salesforce, a plus
