SUMMARY: Reporting to the Manager of Teacher & Student Programs, the Program Coordinator will coordinate and administer activities within the Newberry Teachers’ Consortium (NTC) and assist with management of other TSP programs for various populations of educators and students in the Greater Chicago Area.

 

RESPONSIBILITIES:

  • In collaboration with the Manager, conceptualize, coordinate, schedule, and administer professional development seminars for K-12 teachers (mostly in-person, with a few virtual seminars throughout the year), that grant Continuing Professional Development Credits (CPDUs) for participation;
  • Serve as primary contact with Lake Forest College, Newberry’s CPDU provider; manage, collect, collate, and prepare for accreditation and evaluation reporting to LFC;
  • Plan and oversee seminar registration through Learning Stream online system; monitor and maintain program registration records, evaluation data, mailing lists, webpages, and annual reporting procedures;
  • Assist with school field trips and Traveling Collections visits;
  • Consistently engage and communicate with Chicago-area and suburban educational communities (teachers, administrators, non-profit organizations, community organizations, etc.) to strengthen relationships and publicity efforts;
  • Track budgets and process invoices, cash reports, and check requests; prepare billing paperwork related to PD programs through Chicago Public Schools; and reconcile monthly financial reports with Business Office records;
  • Prepare publicity and print materials, email publicity, brochures, flyers, website calendar entries, grant reports, and the Annual Report;
  • Arrange room audio-visual equipment and catering and submit facilities room set-up requests;
  • Answer phone and email requests and perform photocopying, filing, and other clerical tasks;
  • Perform other activities as assigned to achieve department, division, and library goals, including K-12 school workshops in the library and off-site collections workshops in Chicago-area classrooms.

   

QUALIFICATIONS:

Required:

  • Bachelor’s degree, preferably in a humanities or humanistic social science field;
  • Strong organizational skills and attention to detail, with the ability to organize and implement multiple priorities simultaneously;
  • Exceptional written, oral, and interpersonal communications skills;
  • Strong computer skills, experience with Microsoft Office Suite, and the ability to learn new applications quickly;
  • Experience with basic financials;
  • Ability to work collaboratively in a cordial and professional manner with diverse populations;
  • Superior customer service and diplomacy skills.

Preferred:

  • Master’s degree in a humanities or humanistic social sciences field;
  • Familiarity with and/or strong interests in secondary education, curriculum development, recent developments in state-level curriculum (including mandates), and educational trends/challenges in Chicago and surrounding suburbs;
  • Knowledge of accreditation and compliance requirements of the Illinois State Board of Education;
  • Experience with the culture of academic institutions, public humanities institutions, non-profits, or research libraries.


SCHEDULE: This is a full-time, nonexempt position, working 35 hours per week, with normal hours generally from 9:00 AM-5:00 PM, Monday through Friday. Incumbent may work early morning, evening, and weekend hours, as needed.
